We are looking to expand our Reception team, currently a team of 13 working across 2 sites in Stanmore HA7. We are a busy friendly practice with c13000 patients.
Previous experience preferred but not essential as training and support will be provided.
This will be a 30 hour per week job over 4 days (Monday, Wednesday, Thursday, Friday). Some flexibility in the week is
Main duties of the job
Main duties will include greeting patients face to face or on the telephone, assisting with their queries and/or signposting them to appropriate services.
There will also be administrative tasks including booking appointments, processing prescriptions and actioning emails.
You will work as part of the wider Practice team providing healthcare services to our patients.
About us
We have 2 sites both based in Stanmore HA7. We have a diverse patient population of c13000 and look after a number of local Care Homes.
The Reception team is currently a team of 13, there are a further 8 non-clinical staff who provide administrative support to the Practice. The clinical team comprises 2 GP Partners, 8 GPs, Practice Nurses, Healthcare Assistant, Phlebotomists and supported by a variety of ARRS staff.

Job responsibilities
Main duties will include, but not be limited to:
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
- Deal with all general enquiries (either face to face, on the telephone or online), explain procedures and make new and follow-up appointments for today or the future.
- Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits onto the visit list, ensuring to carefully record all relevant details and referring to duty doctor where necessary.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 2 working days, either on the computer or manually.
- Process paperwork as advised by the clinical team.
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required.
Ensure accurate records are kept
Ensure the kitchen area is kept clean and tidy and air and tidy the waiting room in turn with other staff.
- Process incoming mail and associated paperwork in an efficient and timely manner.
- Fax / email / photocopy paperwork as required.
- Premises:
o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
o When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
o Ensure the clinical rooms are cleared and prepared for the next clinic
- Undertake any other additional duties appropriate to the post as requested by the Managers or Partners.
