Job summary

We are looking for an enthusiastic and diligent individual to join our friendly Operations Team in the role of Operations Administrator.

The role will be on a part time basis, although full time equivalent shifts may be available, and additional hours may be required to cover holidays and sickness, therefore flexibility is vital.

Availability to cover both morning shifts stating at 8am and afternoon shifts finishing at 6.30pm is essential. There will also be the occasional need to cover Enhanced Access hours outside of this.

The ideal candidate will have:

- A medical administration background

- Knowledge of working with EMIS & Docman

- Medical terminology and management of referrals

- Strong work ethic

- Good team player

- Excellent communication and organisational skills

- Able to work under pressure in a fast-paced environment

- Able to provide exceptional service to our patients

Main duties of the job

You will be required to undertake all aspects of medical administration and patient facing tasks including call handling, appointment management, audio typing, referrals, and effective coding to patient medical records.

Job description

Job responsibilities

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Triaging and assigning all non appointment related e-requests to the appropriate persons / teams

d. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

e. As required support clinical staff in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

f. Processing incoming and outgoing mail in all formats

g. Actively signpost patients to the correct services both within practice, PCN and the wider care community

h. Initiating contact with and responding to, requests from patients, team members and external agencies

i. Maintain a clean, tidy, effective working area at all times

j. Monitor and maintain all offices, reception front desk and waiting areas and notice boards

k. File and store electronic records as required (via EMIS Web and Docman)

l. Scanning of hard copy patient related documentation and attaching scanned documents to patients healthcare records

m. Identifying relevant clinical information documented in patient correspondence, coding appropriately per agreed protocol (supported by lead GP) and completing any detailed actions

n. Reviewing records and accurately producing a summary of the patients medical history

o. Typing letters, reports and associated documentation as required

p. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently using ERS

q. Undertaking patient call and recall as directed

r. The processing of changes to patient registration, deduction of record and new patient registration

s. Action GP2GP tasks

t. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms (manually and via iGPR)

u. Process incoming e-test results, ensuring they are referred to the relevant clinician

v. Manage all administrative queries as necessary

w. Carry out system searches as requested

x. Process all DNA letters in accordance with current protocol

y. Support all clinical staff with general administrative tasks as requested
