Job summary
This is an interesting and demanding position for a medical receptionist to work four days a week from 8am to 6pm or 6.30pm.
We are looking
for someone who is flexible, adaptable and able to cope with a
busy workload as part of our large reception team. You must be comfortable dealing with multiple queries
on a daily basis and also have the ability to problem solve.
You should enjoy patient facing contact and the responsibility of managing the front desk. You should have superior skills at prioritising your work and have
excellent communication skills as well as demonstrating a caring attitude when
dealing with patients on the telephone or in person.
Previous patient facing experience would be an
advantage but initial training would be given to the successful applicant.
Main duties of the job
- Greet and assist patients upon arrival, ensuring a welcoming environment.
- Manage appointment scheduling and maintain accurate patient records following all data protection and safeguarding protocols.
- Handle incoming calls, triage forms and enquiries, providing clear communication and information.
- Collaborate with healthcare staff to ensure smooth office operations and patient flow.
- Process and code documents and respond to emails after suitable training.
- Uphold confidentiality, information governance, complete mandatory training and adhere to healthcare regulations at all times.

Answer the telephone and make patient appointments
Take and record requests for visits and deal with patient
enquiries
General administration and clerical work as requested by the
Reception Manager
Ensure paperwork is kept up to date in line with the busy
workload
Assist with triage coordination and support patients with triage
forms where required
Participate in new developments connected with the role of the
receptionist
Assist with clerical and administrative tasks connected to other
practice activities including supporting the Practice Administration Team
Ensure
accurate completion of all necessary documentation associated with patient
health care and registration with the Practice.
A
willingness to develop and expand core knowledge on all aspects of IT through
both in house and external training.
Receive
and make telephone calls as required.
Take messages as appropriate.
Ensure
total familiarity with appointment system in place.
Monitor
effectiveness of the system and report any problems or variations to the
Practice Manager.
Assist
patients who require information about the in house complaints procedure.
Be aware of NHS quality targets and support the Primary Care
Team in achieving targets eg flu vaccination programme
Ensure clinical and non clinical administrative is forwarded to
appropriate GP
Support locum GP and cover clinicians
Check and respond to emails as per Reception Manager, Patient
Services Manager and Practice Manager.
Ensure diary entries and patient recalls for which you are
responsible are kept up to date
Attend regular receptionist update meetings and training
sessions
Maintain patient confidentiality and be aware of the Caldicott
and Data Protection Principles
