Job summary

An excellent opportunity has arisen for an additional experienced Receptionist to join our existing team.

Shift Pattern 1:

24.25 hours per week

Monday 08:15-18:30

Tuesday 13:00-18:30

Wednesday Day Off

Thursday Day Off

Friday 08:15-18:30

*Holiday/Sickness Cover as required.

Main duties of the job

As a key point of contact for over 3,500 patient interactions per week, our reception team plays a vital role in ensuring smooth and efficient operations. Responsibilities include managing appointments using the latest AI-driven Rapid Health system, handling patient inquiries and maintaining accurate medical records. All duties are performed in line with established Practice Policies to uphold high-quality patient care.

Call Handler answering calls from patients, and signpost patients in the use of the latest AI technology system (Rapid Health) for appointments, prescription requests and general enquires.

To assist the doctors in the provision of accessible, effective and high quality medical services.

To provide a courteous, confidential and sympathetic reception service to patients and visitors.

To ensure that clinical appointments are used as efficiently as practicable.

To maintain computerised/manual medical records, monitor team shared email mailbox, action internal TASKs and daily administrative duties as set by the Reception Manager.

To contribute to the overall effectiveness of the Ashfield Surgery team.

Job responsibilities

RECEPTION

Call Handler answering calls from patients, and signpost patients in the use of the latest AI technology system (Rapid Health) for appointments, prescription requests and general enquires.

Booking in arrivals for doctors, nurses and other members of the Primary Health Care Team and monitoring the flow of patients into consulting and treatment rooms.

Registering new patients, explaining the function of the Practice and the procedures in case of illness, and giving details of services available.

Advising patients of relevant charges for private services, accepting payment and issuing receipts.

Registering visitors, contractors, and pharmaceutical representatives, then notifying their designated contacts.

Ensuring that details of any unresolved or urgent matters are conveyed to incoming staff at changeover times.

OTHER DUTIES CONSIDERED APPROPRIATE TO THE POST

Ensuring the surgery is securely closed at the end of the workday.

Completing other clerical support duties necessary within the accepted capabilities of the post, such as working through TASKs, monitoring the RAPID Health mailbox and sending messages to patients via Accurx.

Any and all other tasks deemed appropriate by management.

  • Good standard of general education

  • NVQ in Customer Service

Experience

  • Booking patients in as they arrive at reception desk or assisting with the check in machine
  • Facilitating patients access to clinical staff, ensuring efficiency of appointments system
  • IT skills accessing patient records as required
  • Scanning
  • Photocopying

  • Experience of working within a GP Practice
  • Experience of using IT software to access patient records
