Job responsibilities
An
excellent opportunity has arisen for an additional experienced
Receptionist/Administrator to join our existing team.
The
clinical activities at Ashfield Surgery generate over 3,500 telephone and
personal contacts with patients per week.
The majority of these are dealt with initially through the reception
team. The reception team organise and
co-ordinate surgery appointments, process hospital referrals, and update
medical records. The Practice uses a computer information system for medical
records. Receptionist duties are
conducted in accordance with published Practice Policy.
Main duties of the job
Call
Handler answering calls from the Appointments and General Enquiries Lines.
To
assist the doctors in the provision of accessible, effective and high quality
medical services.
To
provide a courteous, confidential and sympathetic reception service to patients
and visitors.
To
ensure that clinical appointments are used as efficiently as practicable.
To
maintain computerised/manual medical records and produce repeat prescriptions.
To
contribute to the overall effectiveness of the Ashfield Surgery team.

are a large, busy training practice in Sutton Coldfield, serving just over
16,500 patients with 6 GP Partners, 2 Salaried, & 3 GP Registrars,
4 Practice Nurses and 2 HCAs. We offer excellent working conditions in a
modern purpose-built surgery. Our clinical system is EMIS Web. We are a Primary
Care Team that believes in delivering high quality patientcare through
teamwork.
PRIMARY DUTIES AND RESPONSIBILITIES
RECEPTION
Answering
telephone enquiries, allocating appointments and taking messages for doctors,
nurses and other members of the Primary Health Care Team.
Ensuring
patients who need urgent consultation are seen as soon as practicable and in
accordance with Practice Policy.
Booking
in arrivals for doctors, nurses and other members of the Primary Health Care
Team and monitoring the flow of patients into consulting and treatment rooms.
Accepting
requests for home visits, ensuring that all relevant information is recorded
and, when necessary, referring to the Duty Doctor.
Registering
new patients, explaining the function of the Practice and the procedures in
case of illness, and giving details of services available.
Advising
patients of relevant charges for private services, accepting payment and
issuing receipts.
Booking
in visitors, contractors and drug company representatives and informing their
hosts.
Ensuring
that details of any unresolved or urgent matters are conveyed to incoming staff
at changeover times.
OTHER DUTIES
CONSIDERED APPROPRIATE TO THE POST
Checking
consulting rooms at the end of each surgery and ensuring their readiness for
next session.
Liaising
with the duty doctors to confirm arrangements for out of hours medical cover,
informing on-call service of these requirements and ensuring telephone
answering machines are switched before leaving the surgery.
Securing
the surgery at the end of the work period.
Completing
other clerical support duties necessary within the accepted capabilities of the
post.
Complying
with terms of Ashfield Surgery Patients Charter and Practice Policies.
PATIENT
CONFIDENTIALITY
Protecting rigorously the confidentiality of
all medical information handled during the course of all duties at Ashfield
Surgery.
GENERAL REQUIREMENTS
Adhere
to Ashfield Surgerys policies and procedures at all times.
Take
reasonable steps to manage and promote a safe and healthy working environment
which is free from discrimination.
Respect
confidentiality and privacy of patients and carers at all times.
Maintain
a constant awareness of health, welfare and safety issues affecting colleagues,
patients, relatives and self, reporting incidents or near miss events to the
Practice Nurse Manager or the Practice Manager.
To
function as an integral part of a developing team.
Attend
relevant meetings as required.
Have
knowledge of and act at all times within the boundaries of Health & Safety
legislation and Data Protection Acts.
Have
an understanding of Equal Opportunities Policy.
Participate
in personal training, development, appraisal and attend mandatory courses as required.
This

undertake any other duties as required, to meet the needs of the service, so
long as they do not exceed the level of responsibility expected for this grade.
SKILLS AND ABILITIES
Essential
Excellent communicator both verbally and written
demonstrated with people at all levels and in all circumstances
An understanding, acceptance and adherence to the
need for strict confidentiality
Good level of education to GCSE standard or
equivalent
Desirable
Use of clinical system software e.g. EMIS Web
Previous NHS experience ideally within a GP setting

This post is subject to the Rehabilitation of
