Job summary

We are seeking a professional and friendly Reception Care Navigator and Dispenser to provide high-quality front-of-house and dispensary support within the practice working 30 hours a week over a Monday, Tuesday, Thursday and Friday. The post-holder will play a key role in care navigation, assisting patients in accessing the most appropriate service or healthcare professional in a timely and effective manner.

Main duties of the job

The role involves delivering administrative support, processing prescriptions in line with clinical guidelines, and ensuring patients are signposted appropriately based on their needs. The successful candidate will be a key member of the team, maintaining accurate records, ensuring smooth patient flow, and supporting both reception and dispensary functions.

Job description

Job responsibilities

Reception Care Navigator Duties

  • Answer telephone calls promptly and respond appropriately.
  • Act as a Care Navigator, signposting patients to the most appropriate clinician or service (e.g. GP, nurse, pharmacist, or external services) based on their needs.
  • Use care navigation protocols to ensure patients are directed safely and effectively, including identifying urgent or emergency presentations.
  • Collect fees, arrange ambulance transport, and maintain waiting areas and reception.
  • Extract and maintain accurate patient medical records, ensuring all correspondence is filed correctly.
  • Prepare consulting rooms before and after clinics, ensuring all necessary equipment is available.
  • Prepare repeat prescriptions and liaise with clinicians regarding irregular requests.
  • Prepare specimens for laboratory collection and bring urgent results to clinician attention.
  • Manage incoming post and ensure familiarity with clinical and administrative computer systems.

Dispensing Duties

  • Dispense medicines according to practice and clinical guidelines.
  • Check medicines against prescriptions; verify any doubts with the authorising clinician.
  • Collect prescription charges and maintain accurate records of financial transactions.
  • Endorse prescription forms, forward securely for processing/reimbursement, and maintain accurate documentation.
  • Operate stock control to ensure continuity of supply and minimise wastage.
  • Ensure medicines are stored appropriately, including temperature-sensitive items, and maintain hygiene standards.
  • Respond promptly to drug alert bulletins and maintain accurate dispensing records.
  • Non-qualified dispensing staff must complete NVQ Level 2 in Dispensing Services within two years of employment.
