Job summary

We are a busy teaching and training practice with approximately 13,000patients. Our innovative multidisciplinary team includes 5 GP Partners, 8 salaried GPs, 2 Nurses, 2 Health Care Assistants, 1 Phlebotomist all supported by our Patient Administration Team.

Main duties of the job

  • Patient Interaction: Greet patients, manage enquiries, and ensure a high level of customer service.
  • Appointment Management: Schedule and manage patient appointments, ensuring optimal use of practice resources.
  • Record Keeping: Maintain accurate and up-to-date patient records, ensuring compliance with data protection regulations.
  • Communication: Serve as a liaison between patients, staff, and external stakeholders, ensuring clear and effective communication.
  • Administrative Support: Provide administrative support to clinical staff.

Job responsibilities

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the practice manager, dependent on current and evolving practice workload and staffing levels:

Opening up/locking-up of practice premises and maintaining security in accordance with Practice protocols.

Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

Receive and make telephone calls as required including from the care-coordinator waiting list.

Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Working with the triaging GP to process patient online enquiries sending the guidance requested by the GP.

Enter requests for home visits into the computer, ensuring careful recording of all relevant details and where necessary refer to duty doctor.

Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.

Processing and distributing incoming (and outgoing) mail.

Filing and retrieving paperwork.

Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers.

Providing clerical assistance to practice staff, including word/data processing, filing, photocopying and scanning.

Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter.

  • Excellent organisational and timemanagement skills
  • Required for managing caseloads, coordinating appointments, chasing DNAs, and maintaining accurate records.
  • Confidence working with digital systems
  • Ability to use clinical systems (e.g., SystmOne) and maintain accurate documentation.

Desirable

  • Experience in a primary care, health, or social care environment
  • Personcentred and compassionate approach
  • Expected to be caring, reliable, and patient-focused.
  • Ability to work collaboratively as part of a multidisciplinary team
  • PCNs require Care Coordinators to integrate with GPs, nurses, social prescribers, health & wellbeing coaches, and admin teams.
