Job summary

A very varied and interesting role, working as part of a friendly and diverse team of clinicians and administrative staff helping to navigate the care and health outcomes for our patients, both by dealing with enquiries face to face, over the telephone, by email, or letter and by supporting the clinical team.

Main duties of the job

The role consists of a mixture of customer service, both patient-facing and over the telephone and by email or letter, and administrative tasks such as processing prescriptions and hospital referrals. All administrators in the practice are trained to deal with all aspects of the non-clinical service to ensure a varied and fulfilling day every day.

About us

This is a small GP practice with a patient list size of just in excess of 6000. There are 2 GP partners and 2 salaried GPs, 2 Practice Nurses, a Healthcare Assistant, a Physician Associate and a Clinical Pharmacist along with 7 Administrative staff and the Practice Manager. We all work together and everyone's role is as important as the others. Our patient list is, like Burnage, a demographically diverse community in all aspects.

Job responsibilities

Core Duties and Main Responsibilities in Key Areas

This non-exclusive list of duties and responsibilities which follows represents the broad range of tasks, which may be required to be undertaken either routinely or periodically.

To man the reception desk and deal with face to face queries from patients and their representatives or other visitors to the practice

To answer telephone calls and book appointments for patients requiring medical input

To print/request electronic prescription from the GP for patient requiring repeat medication

To scan incoming correspondence arriving by email/practice website to the relevant clinician

Corporate Responsibility

To maintain patient / colleague / third party confidentiality at all times

Respect equality, equal opportunity and diversity principles.

Participate in the overall management of Kingsway Medical Practice

Work closely with colleagues to achieve improvements in the quality and efficiency of patient services

Ensure that all Kingsway Medical Practice policies and procedures are adhered to and where necessary implement changes to support the operation of the Practice.

Work with colleagues to ensure that Kingsway Medical Practice meets all of its responsibilities including waiting times, clinical governance and health and safety

Maintain awareness of local and national requirements and standards including CQC directives.

Participate in the personal development review process

Participate in appropriate Mandatory Training (e.g. Basic Life Support Training, Safeguarding Training minimum of 4 hours of each Adult and Child Safeguarding training over a rolling period of 3 years) during normal working hours.

Participate in any internal investigations as required

Ensure the preservation of Kingsway Medical Practices property and resources.

Report any adverse incidents as appropriate

To work from other locations as requested and appropriate

Undertake any other reasonable duties.

To comply with Practice policies and procedures relating to Information Governance. This will include, but not be limited to, Confidentiality policies, record management protocols, the Information Security Policy, The Data Protection Act, The Freedom of Information Act etc.

You have a responsibility to protect and maintain confidentiality of all information. You must not, except as authorised or required by law or your duties, reveal any confidential information.
