Reception Manager

Job summary

To be responsible for the efficient management and direction of the administration team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.

The post holder will be a member of the surgery management team they will ensure the effective processing of all administrative work and appropriate liaison with the reception and administration team while supporting the delivery of Local and National KPIs and ensuring the practice complies with CQC regulations.

To support the management team in promoting Equality Diversity and Inclusion, Safety Health Environment Fire, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team.

Main duties of the job

The Reception Manager is responsible for:

a) Overseeing the administration and support operations of the practice,

b) Line managing the reception team, supporting staff development,, ensuring staff are up to date with mandatory training.

c) Completing staff appraisals as required

d) Identifying and delivering team training where required

e) Compiling reception team rotas, ensure the practice Reception Team has adequate cover at all times.

f) Reviewing and updating all administrative and reception policies and procedures as required

g) Supporting the management team in the compilation of practice reports and the practice development plan

h) Developing, implementing and embedding efficient office processes and procedures to adhere to extant legislation.

i) Coordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences.

j) Providing guidance and advice to patients who wish to verbally complain.

k) Managing all deliveries to the practice, ensuring adherence to the cold chain policy as necessary

l) Acting as building fire marshal, ensuring evacuation lists are current and that the visitors log is used appropriately.

m) Be able to cover all areas of reception role.

n) Support staff to reach their full potential and identify training needs

o) Any other tasks allocated.
