Dispensary Receptionist

Job summary

Working within our in-house Dispensary, you will be meeting and greeting patients and handing them their medication which have been dispensed, after checking relevant ID with patients or follow up on patient enquiries. On a rotational basis you will be working on administration, checking requests for medications have been actioned and followed up in a priority order, plus answering the phones, dealing with e-mail enquires and completing triage requests for medications. You will also be dealing with online prescription requests.

To help facilitate the smooth running of the Dispensary by undertaking administrative and reception duties as directed by senior staff.

To provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

As required, to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

About us

The Dispensary team are a blend of reception staff who manage patient requests, telephone requests, face to face requests and electronic requests through either email, the online portal or through patient triage.

The Dispensary is part of Holmes Chapel Health Centre, which is located in the centre of Holmes Chapel. We have approximately 13,000 patients overall. Patients who live more than 1.6km from the health centre can also use our Dispensary for the medication, and so this gives extra patient choice.

The team are very busy, each and every day, working as a friendly team to delivery the highest customer service that we can.

To have a thorough knowledge of all practice procedures.

To work in accordance of written protocols.

Prepare correspondence for photocopying/posting/faxing and post mail when required. All requests must be recorded in the patient computer record

Reception

Greet all patients on arrival

Deal with patient face to face queries and/or redirect where appropriate

Answering the telephone dealing with and/or directing enquiries as appropriate

General Duties

Handing completed repeat prescriptions to patient and checking names and address

  • To cover all reception duties as necessary.
  • Each morning, open premises and security hatches as required
  • Each morning retrieve answerphone messages that have been left and pick up throughout the day
  • Each evening or at the end of each shift leave work station area tidy, ensuring any outstanding queries or outstanding tasks/workload is passed over to the appropriate member of staff to ensure business continuity
  • Check each morning email prescription requests and throughout the day
  • Check patient online service prescription requests
  • Make tea/coffee for staff and participate in keeping kitchen area clean and tidy, where applicable

Dispensary Duties

  • Prepare computerised repeat prescriptions for Dispenser following practice protocol and set out for verification and signature of doctor, where applicable
  • Maintain the 72 hour prescription system
  • Maintain workflow tasks allocated to GPs
  • Not to dispense medicines/drugs to unauthorised persons, whoever they may be without the doctors consent
  • Give out dispensed items to patients, collecting monies/exemptions registering all in the till

Undertake any other duties as agreed with the Partnership

Check clinical system for Warfarin results and use clinical system to check hospital letters

Assist in putting new stock away as required

Other tasks

Ensure building security have thorough knowledge of doors/windows/alarm

Any other tasks allocated by managers
