Job summary

You will be the first point of contact for patients calling or visiting the practice and it is essential that you project a smart, professional, and friendly image at all times. Excellent telephone skills are essential, plus a helpful and efficient approach when dealing with patients, colleagues, and visitors.

This is a busy and demanding role that requires flexibility and the ability to think on your feet. We are looking for a team player who will thrive in a high-pressure environment. You should be reliable, have good time keeping skills and a strong work ethic.

Job Summary:

To welcome patients and visitors to the UCC in a friendly, positive manner and to deal with telephone and personal enquiries calmly and professionally.

About us

Oxford City Primary Care provides an Urgent Care Centre on the JR hospital site in Oxford. The service started on 24thJanuary and currently operates from 10am-8pm Monday to Friday, with plans to extend to longer hours and 7 days a week within the next month.

The service is GP led and provides treatment for patients with minor illness. The UCC takes referrals from primary care directly and from 111 and A&E for primary care conditions.

Experience is preferred but not essential as full training will be given. An ability to cover for extra shifts (planned absences and to cover at short notice) is essential.

Job responsibilities

Key Responsibilities:

  • To welcome and direct patients and visitors on arrival.
  • To open the premises, turn on computers in the reception area and open up clinic rooms
  • To be responsible for answering general enquiries, explaining surgery procedures, making new and follow up appointments.
  • To receive calls from external health bodies to book in and manage patient appointments.
  • To update patient details e.g., change of address, in electronic and paper records.
  • To ensure information regarding unresolved matters is handed over to colleagues at the end of shift.
  • To file and extract records and any documents when needed.
  • To ensure specimens are bagged ready for daily collection.
  • To ensure clinical rooms and workstations are well stocked
  • To liaise between doctors and patients.
  • General housekeeping duties, ensuring the doctors rooms, waiting area, reception area and staff kitchen are clean and tidy.
  • At closing time, to tidy and close the waiting area and doctors rooms, lock doors, reception area and ensure all windows and blinds are closed and turn off computers
  • To ensure the building is secure when leaving at the end of the day.
  • To ensure patient confidentiality at all times.
  • Any other reasonable duties as requested.
