Job responsibilities
To manage the practice on behalf of the partners in an effective and cost effective manner to enable the practice to meet agreed aims and objectives within a profitable, efficient, safe and effective working environment and maintaining a happy and committed team. Main areas of responsibility being premises, staffing levels, staff development and day to day running of the surgeries.
Service Requirement
To manage personally and through delegation to ensure the smooth running of all practice processes. Managing personally and through delegation the development of practice staff. To work closely with the partners, CCG and other agencies to develop and improve the service we provide.
To be aware of national, local and practice quality standards for chronic disease management, Key performance indicators, Direct Enhanced Services and Local Enhanced Services. To monitor and report on these indicators in accordance with CCG and practice requirements.

Payment of suppliers either by Cheque or BACS system
Payment of Partners Drawings
Overview of Practice accounts
Process monthly payroll /manage overtime and sickness
Overview and introduction of pension for administrative staff
Overview of QOF liaising with Nursing team and GPs
Overview of Bolton Quality Contract liaising with nursing team and GPs
Manage staff pay and holidays
Premises and Equipment
Maximising available space to achieve optimum use of clinical rooms
Co-ordinate room usage and moves as required
Maintenance of common equipment
Ensure equipment complies with appropriate legislation ( PAT testing own equipment ,Health and Safety etc.)
Ensure that the practice complies with aspects of Health and Safety legislation
Patient Services
Oversee, develop, and manage an effective appointments system
Oversee and organise surgery timetables, duty rotas and holiday cover
Monitor and assess practice performance against patient access and demand management targets
Develop and maintain new and existing services
Evaluate suggestions
Deal with difficulties / complaints. Respond to patient complaints including reporting to NHS england
Manage and meet with patient group
Staffing
Ensure the smooth running of the surgeries through adequate staffing levels including co-ordinating the doctor or nurses annual leave or time away from the practice.
Manage trainee staff inductions
Oversee staff job descriptions, contracts and ongoing personal development plans and training.
Manage staff reviews, appraisals and inductions
Arrange and attend staff meetings.
Human Resources
Oversee the recruitment and retention of staff and provide a general personnel management service.
Ensure all staff are legally and gainfully employed.
Advertise vacancies, select candidates for interview, obtain references and participate in interviews as appropriate.
Ensure all employment checks and DBS certificates are applied for
Organise and oversee staff induction and training to ensure all staff are adequately trained to fulfil their role.
Develop and implement effective staff appraisal and monitoring systems
Support and mentor staff as both individuals and team members.
Overview of workload and staff development planning.
Deal with staff difficulties /complaints/ grievances/ disciplinary actions.
Ensure all contracts of employment are provide to all staff and that relevant employment legislation is followed.
Ensure all staff have job descriptions and these are updated when necessary

Convene meetings, prepare agendas and ensure distribution of minutes as necessary.

Manage the procurement of practice equipment, supplies and services.
Ensure that the practice has adequate disaster recovery procedures in place.
Liaise with CCG IT support to resolve hardware issues.
Practice co-ordinator for all IT hardware
IT and Information Management
Ensure only the appropriate personnel have access to information in line with their role.
Motivate, support and monitor staff in the use of IT evaluate training
Review the maintenance of the Practice website
