We can accommodate part time or full time hours for the right candidate.

We are a friendly and busy NHS GP Practice in Mill Hill, North London, with 24,000 registered patients and 60 staff members.

We are looking for a Full Time/Part Time Digital Receptionist to work with us at the practice.

Purpose:

The Digital Receptionist plays a vital role within the Digital Administration of the practice, serving as the primary point of contact in a dynamic and face-paced environment. The position is responsible for creating a welcoming, professional atmosphere for all patients and stakeholders.

Main duties of the job

- Managing a variety of reception and administrative tasks

- Supporting the wider team by ensuring these functions are completed with accuracy, efficiency, and professionalism

- Collaborate with other reception staff at Millway Medical Practice, providing coverage as needed

The Digital Administration & Project Initiation Team includes:

- Digital Administration

- Digital Project Initiation

- Digital Communications

- Digital People Participation

You will need to be a good communicator, fluent in English, written and spoken, with excellent interpersonal and customer service skills; especially under pressure. You will have a range of patient facing and administrative tasks, so excellent organisational skills and time management are critical. A caring, empathetic character is essential.

Emis Web and experience of working in a GP practice preferred.

Digital Receptionist

  • To receive incoming calls and visitors to Millway Medical Practice and deal with a range of queries appropriately in a courteous, polite and helpful manner whilst also maintaining confidentiality at all times.
  • As a reception member to work flexibly in order that essential priority tasks are covered and dealt with.
  • Politely greeting patients and visitors to the surgery.
  • To book, cancel and amend patient appointments using EMIS Web clinical software.
  • Following the opening and closing policy at the beginning and end of each day.
  • To assist in providing a flexible administrative service at the request of the line manager.
  • When appropriate, and with agreement with the line manager, be responsible for ad hoc and one-off admin duties for directors/managers within Millway Medical Practice.
  • To train new staff to reception administration systems
  • To have thorough knowledge of practice policies and work in accordance of practice policies
  • Dealing with all requests in an efficient and courteous manner.
  • Registering new patients at the surgery.
  • Explaining the practice procedures to new patients.
  • Receiving urine and blood samples and sending them off to hospital laboratories.
  • Chasing up appointments for patients with hospitals or with other healthcare professionals.
  • Arranging prescriptions for patients.
  • Maintaining a clean reception and waiting area to show a professional image.
  • Opening post, scanning and forwarding it onto the relevant parties.

Other Tasks

  • Clear and re-stock consulting rooms after surgeries
  • Ensure building security have thorough knowledge of doors/windows/alarm.
  • Provision of refreshments for staff and visitors as required; washing up and keeping the kitchen area clean and tidy.
  • Keeping the reception area and waiting area, notice boards and leaflet dispensers tidy and free from obstructions and clutter
  • Any other tasks allocated by managers
