Prior experience with SystmOne is a plus, but don't worry if you haven't used it before we provide full training!

  • Greeting patients and handling inquiries (in person, by phone, and online)
  • Supporting clinical staff with admin tasks
  • Keeping things running smoothly with your excellent organisational skills
  • Working as part of a friendly, flexible team

Main duties of the job

Administrative Tasks

  • Assisting with patient registrations, managing workflows, and handling hospital correspondence.
  • Updating and coding medical records, emails, and safeguarding information.

Reception Duties

  • Managing patient appointments, e-Consultations, and assigning workloads to clinicians.
  • Providing a welcoming and helpful service to all patients.

Prescription Processing

  • Handling prescription requests, monitoring medications, and managing document workflows.

Telephone Support

  • Answering patient queries and calls, following established protocols.
  • Ensuring patients receive the right advice or are directed to the appropriate team.

Problem-Solving

  • Supporting patients, doctors, nurses, and healthcare professionals.
  • Addressing any issues efficiently and professionally.

Records & Data Management

  • Organising and retrieving medical records, letters, and test results.
  • Keeping patient information up to date on the system.

Practice & Premises Support

  • Opening and closing the practice, ensuring everything is set up for the day.
  • Keeping waiting areas and consulting rooms tidy and well-stocked.

Additional Responsibilities

  • Taking part in team meetings and training.
  • Keeping accurate records when requested.
  • Maintaining strict confidentiality to protect patient and practice information.
