Job summary
Our aim is to get patients to the right person or place to
help them, first time. As the first point of contact for many patients, the
reception team play a really important role.
You'll be responsible for welcoming patients in person and
on the phone and directing them to the right person or service.
This may include making sure that patients with urgent needs
and no scheduled appointment are seen in a sensible way.
The role also includes important administrative duties such
as booking appointments, dealing with samples and prescriptions, updating patient
records and other tasks that contribute to the smooth running of the practice.

Main duties of the job
This is a role established to support the
practice in carrying out day-to-day activities and to provide general
assistance to the practice team projecting a positive and friendly image to
patients and other visitors, either in person or via the telephone.

- Ensure an
effective and efficient reception service is provided to patients and any other
visitor. Receive, assist and direct patients in accessing the appropriate
service or healthcare professional in a courteous, efficient and effective way.
- Using
your own judgment and communication skills, ensure that patients with no prior
appointment but who need urgent consultation are seen in a logical and
non-disruptive manner.
- Undertake
a variety of administrative duties to assist in the smooth running of the
practice.
- Telephone
duties; making appointments, taking requests for prescriptions, taking home
visit requests, contacting other providers, take concise and accurate messages.
- Reception
duties; register new patients, handling prescriptions, deal with incoming
patient samples, collect payments for non-NHS services.
- Administrative
duties; open and process incoming mail, photocopying, deal with general queries
and complaints (where appropriate), retrieve patient records, update patient
records as required, assist outgoing mail from the practice.
- To have a
thorough knowledge of all procedures and to work in accordance with written
protocols.

risks, significant problems and issues to the relevant person ensuring
appropriate reporting procedures are followed.
