Job summary

Kingswood Surgery are seeking a prescription clerk to join the team. This is an exciting opportunity to be part of an innovative team focused on delivering high-quality, patient-centred care in a collaborative and supportive environment.

The successful candidate will be responsible for processing repeat prescriptions, managing medication reviews, liaising with patients, pharmacies and clinicians, and ensuring prescriptions are issued safely and efficiently in line with practice and NHS guidelines.

About us

Kingswood surgery Harrogate is based at a purpose-built Health Centre. We have a growing list size of approx. 6866 patients and are part of the Heart of Harrogate Primary Care Network.

We have an extended clinical team, which includes Clinical Pharmacists, Mental Health Practitioner and Physiotherapists working alongside the 4 GPs and a Nursing team, they are all supported by a dedicated management and admin team. The Practice advocates a friendly and positive working environment and we're looking for an equally friendly, motivated and versatile individual to join our team.

Key Responsibilities

1. Repeat Prescription Processing

  • Process all repeat prescription requests received via System One/clinical system, Accurx, email, post, care homes, paper requests and pharmacies.
  • Ensure all patient medication reviews and blood tests are up to date before issuing prescriptions.
  • Send review invites where required or forward to appropriate clinical/admin staff.
  • Identify medications requiring GP reauthorisation and arrange review where necessary.
  • Monitor and manage amber drugs and prednisolone prescriptions, ensuring appropriate monitoring and follow-up.
  • Manage acute prescription requests and liaise with GPs or pharmacy team when required.
  • Add new medications from hospital letters, medication changes or discharge summaries for clinical review prior to issue.

2. Prescription Monitoring & Governance

  • Conduct daily prescription audits to ensure all prescriptions have been printed and processed.
  • Check GP workflow trays to ensure prescription tasks are actioned.
  • Maintain and monitor the Controlled Drugs (CD) register, ensuring prescriptions are signed and collected appropriately.
  • Check pharmacy and doctor task lists and action where appropriate.
  • Ensure compliance with NHS prescribing regulations and practice protocols.

3. Patient & Pharmacy Liaison

  • Liaise with pharmacies regarding prescription queries and collections.
  • Contact patients where necessary regarding prescription issues or collection.
  • Organise medication synchronisation requests and issue repeat medications accordingly.
  • Arrange repeat dispensing for suitable patients who are stable and up to date with reviews.
  • Coordinate dosette tray prescriptions and liaise with pharmacies for monthly/weekly dispensing.
  • Liaise with nursing team regarding Wardles bandage prescriptions and process accordingly.

4. Weekly Responsibilities

  • Issue weekly/monthly prescriptions for patients who do not order their own medication (as agreed by the practice).
  • Monitor prescription request forms at reception and reorder stock when low.
  • Check and maintain pharmacy collection lists.
  • Clear early prescription folders and issue where appropriate.
  • File and rotate prescriptions in accordance with the 4-week retention system.

5. Monthly Responsibilities

  • Conduct repeat template housekeeping, stopping medications not issued within the last 12 months.
  • Complete NHS Prescription Services claims to NYCC, including running required monthly reports.
  • Ensure all eligible prescriptions are claimed and complete income calculations (e.g. PAI).
  • Run Ardens reports (e.g. PPA/FP34 scripts not issued) to ensure claims accuracy.
  • Check Yorkshire Health Network invoices relating to travel vaccinations/consultations.
  • Monitor and order paper prescription stock as required.

Additional Duties

  • Maintain accurate patient records.
  • Ensure confidentiality is maintained at all times in line with GDPR and NHS guidance.
  • Work collaboratively with GPs, pharmacists, nurses, reception and administrative teams.
  • Participate in practice meetings and training as required.
  • Undertake any other reasonable duties within the scope of the role.
