Medical Secretary/Practice Management Assistant

Job summary

This is a hybrid role supporting the Medical Secretaries and Management Team within the practice and as such will encompass a wide variety of duties.

This role helps ensure the smooth and efficient operation of the practice often working as part of the wider administrative team to support patient care and practice's non-clinical aspects of running the business.This role includes tasks like managing patient records, handling communications, and assisting with various administrative duties.

Part time - 30 hours per week (potential for full time for right candidate). Practice based

Proposed work pattern

Medical Secretaries - 20 hours (Monday or Tuesday mornings and Wednesday, Thursday and Friday afternoons)

Management Team - 10 hours (Tuesday afternoons + other hours to be agreed)

Anticipated start date November 2025

Please note

Successful candidates and there immediate household cannot be patients of Hightown Surgery. If you and your immediate family are Hightown patients and you join the practice team you and your household will be expected to move to another GP practice to ensure confidentiality and conflicts of interest are maintained.

Main duties of the job

Medical Secretary main duties

Responsible for creating clinical letters, answering telephone enquiries and dealing with patient queries, plus covering the Medical Secretary duties during periods of absence.

The successful candidate will have good organisational skills, the ability to prioritise demands of a busy office and manage their time and workload effectively.

Requirement to work unsupervised and communicate with GP's, Locums and other clinical members of staff regularly.

Duties may be varied from time to time under the direction of the Practice Management Team, dependent on current and evolving Practice workload and staffing levels such as supporting annual vaccination and healthcare campaigns.

Management Team main duties:

  • Producing & circulating rotas
  • Submitting practice statistical data
  • Patient and practice communication (e.g. patient TV and website)
  • Updating training records, monitoring DNA rates
  • Handling correspondence (e.g. emails and letters)
  • Filing, photocopying and maintaining records
  • Scanning documents
  • Recruitment admin
  • Assisting with preparation of reports/documents
  • Managing practice supplies and equipment
  • Assisting at practice events
  • Supporting annual vaccination and healthcare campaigns
  • Provision of refreshments for staff/visitors, loading/emptying dishwasher and keeping the kitchen area clean and tidy when required
  • Basic IT first contact support
  • Processing patient requests for online access to their medical records

We are situated 15 minutes from the train station and opposite Horton Hospital.

  • Computer Literacy. Competent in Microsoft packages - Word, Excel, Outlook and Teams.
  • Attention to detail.
  • Excellent communication skills. Both written and verbal to interact effectively with patients, colleagues and other healthcare professionals.
  • Organisational skills. Ability to manage multiple tasks, prioritise effectively and maintain accurate records.
  • Confidentiality.
  • Flexible and adaptable to changing priorities, duties and work pattern where necessary (e.g. cover absence).
  • Customer Service Skills. Experience dealing with patients or the general public. Providing a positive and helpful experience for patients and practice staff members.
  • Confident telephone skills.

  • Live within commutable distance of Banbury.
  • Able to work likely work pattern.
