Job summary

An exiting opportunity as arisen for an additional Prescription Clerk to join our existing friendly, busy team at The Park Surgery, Driffield.

We are looking for someone with excellent customer relationship skills, strong communication skills, and who projects a positive and friendly image to all patients, whether in person or on the telephone.

The Pharmacy is a busy department and you will work well under pressure and have a calm and caring approach

The hours are negotiable from 24 - 37 per week.

In addition we require the successful applicant to be flexible and provide absence cover.

Main place of work is Driffield, but there may be a need to work from our branch surgery at Nafferton from time to time.

Main duties of the job

To provide an efficient prescription service to patients who are contacting the practice to request medication. The prescription clerk will answer telephone calls, emails, deal with face to face and telephone queries, including other administrative duties.

  • Be the first point of contact for patients with prescription requests/queries.
  • IT proficiency, searching electronic patient records, checking patient details and requesting the correct medication.
  • Identify if the medication is urgent and send it to the appropriate clinician.
  • Checking that the patient is not over-using medication.
  • Be competent in the use of the telephony system and be able to transfer calls internally as required.
  • Deal with emails on a daily basis.
  • Working with our clinicians and Pharmacists to ensure safe patient care.

About us

The Park Surgery is based in Driffield with a satellite branch in Nafferton. We are a modern friendly practice with a multi disciplinary team of clinicians and non clinicians always adapting to meet the changing needs of the NHS and our patients. We are proud to be a training practice helping to increase the GP's of tomorrow in association with HYMS.

We have just over 15,000 patients on our practice list and we dispense to just under half of these patients.

The surgery is a very busy practice and a warm and friendly place to work, we are committed to the development of our staff.

The role is between 24 and 37 hours per week (negotiable) and the successful candidate will have the opportunity to join the NHS pension scheme and other NHS benefits. The closing date for all applications is 16th July 2023.

RESPONSIBLE TO: Dispensary Manager

LOCATION: The Park Surgery

JOB PURPOSE: To be responsible for the accurate and timely processing of prescription requests for the practice population liaising effectively with all relevant personnel.

MAJOR DUTIES/RESPONSIBILITIES:

a. Process repeat prescription requests received by phone, email, post, slips, face to face and the online access system, in accordance with practice protocols

b. Produce prescriptions for the GP to sign in an acceptable timeframe

c. Ensure all prescription requests are processed and are ready for collection within the timeframe set

d. Generate requests for medication on behalf of the patient for non-repeat items

e. Actively encourage patients to reconcile medications to facilitate monthly collections

f. Discuss with patients their requirements, encouraging patients to order only what they require

g. Act upon compliance issues, liaising with the appropriate clinician

h. Ensure medication reviews are arranged by maintaining an accurate recall system

i. Efficiently and accurately file prescriptions when complete so ready for collection.

j. Manage the dispensary desk which will include face to face communication with patients, visitors and clinicians; resolving queries, fulfilling requests for patients collecting prescriptions and/or medication.

k. Effectively liaise with external services i.e. district nurses to ensure medications are arranged for housebound patients

l. Input data into the patients digital healthcare records as necessary

m. Deal with all prescription related enquiries in a timely manner

n. Record and report adverse effects accurately and appropriately, informing the practice pharmacist immediately

o. Code data on practices clinical system.

p. Carry out system searches as requested

OTHER DUTIES

a. Support the practice clinical pharmacist as required.

b. Partake in audit as directed by the audit lead.

c. Support the GPs, Pharmacist and Dispensary Manager in reviewing and updating the practice prescribing policy

d. Complete opening and closing procedures in accordance with the duty rota

e. Maintain a clean, tidy, effective working area at all times

f. Ensure clinical waste is collected, stored, and disposed of according to regulations

g. Work additional hours to cover for colleagues sickness and annual leave absence

h. Participation in the extended hours rota which will include evenings and weekends.

i. Ensure awareness of responsibilities in relation to health & safety and infection control.

j. Keep staff kitchen area clean and tidy.

k. Any other duty as shall reasonably be required.

l. Undertake mandatory training as required.

The security of the practice is the responsibility of all personnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share their fob for the door locks to anyone and are to ensure that restricted areas remain effectively secured.

PROFESSIONAL CONDUCT

At The Park Surgery, staff are required to dress appropriately for their role. Staff will be provided with a uniform (after completion of their probationary period) whilst clinical staff must dress in accordance with their role.

LEAVE

All personnel are entitled to take leave. Line managers are to ensure all of their staff are afforded the opportunity to take a minimum of 23 days leave each year (pro rata), and should be encouraged to take all of their leave entitlement.
