Job summary

Elm House Surgery & Cator Medical Centre are a large, friendly dual General Practice enterprise operating from purpose built premises in Beckenham.

We are looking to recruit an Administrator to complement our existing team.

We offer competitive rates of pay and NHS Pension.

We are looking for 34 hours per week across 4 week days with Tuesdays off.

Main duties of the job

This role would suit someone who is looking for an opportunity to develop their existing Administration skills working strictly in accordance with practice protocols, with the highest levels of accuracy, attention to detail, speed and efficiency.

We are looking for someone who has excellent verbal and written communication skills, and who is proficient in the use of Microsoft Office Suite. Experience in EMIS Web is desirable but not essential.

Our combined clinical workforce consists of five GP Partners/ Directors and nine Salaried GPs, some of whom work part-time. We also employ Nurse Practitioners, Practice Pharmacists, Podiatrist, Physiotherapist, a Mental Health Practitioner, several practice nurses and HCAs.

Both practices are accredited training practices, with GP Registrars, medical students and student nurses.

Job description

Job responsibilities

Duties:-

Sorting, scanning, distribution and processing of incoming mail.

Prompt filing and distribution of electronic mail via Docman and Documents Management in Emis Web. Re-distribution of mail as required.

Processing incoming electronic test results via the pathology links, and ensuring the correct allocation of results to clinicians. Redistributing test results as required.

Ensuring that all reports, correspondence and results are filed promptly and correctly.

Ensuring that Docman workflow items (for both clinicians and non-clinicians) are redistributed to ensure timely completion.

Dealing with all telephone enquiries into the Admin Department.

Checking and processing administrative tasks (PNs) in a timely manner.

Checking and processing all e-mail correspondence in a timely manner.

Processing repeat prescriptions (including manual and EPS scripts) on a daily basis in order to meet the 48 hour turn around for patients.

Processing online patient access requests and responding to patient enquiries in relation to online access.

Administration of patient amendments and deductions via the GP Links. Returning medical records to the PCSE.

Accurate receipt and processing of incoming medical records / paperwork. Liaising with PCSE as required.

Liaising with Notespace / BoxIt to ensure the accurate transfer of medical records to and from offsite storage.

Dealing with all requests for medical records from patients, solicitors and third parties. Dealing with subject access requests.

Entering information / data into the patient medical record clearly and accurately.

Computer back-up duties

Assisting with the DNA procedure and sending patient warning letters as appropriate.

Entering BP data via the self-check machines.

Processing new patient registrations if required.
