Job summary

Were looking for a welcoming and proactive Receptionist to be the first point of contact for our patients and visitors. In this role, youll provide excellent front-of-house service, handle enquiries, schedule appointments, and support the smooth running of the practice. Youll play a key part in ensuring patients feel supported and cared for, while also keeping our records, correspondence, and day-to-day operations organised and efficient.

Main duties of the job

As a Receptionist, youll be the friendly face and first point of contact for patients, ensuring they feel welcomed and supported. Youll balance front-desk reception duties with behind-the-scenes administration, helping to keep the practice running smoothly. The role involves working closely with colleagues, using good communication and organisation skills, and providing reassurance to patients in a busy but rewarding healthcare setting.

Job responsibilities

Key Responsibilities:

  • Provide an effective and efficient reception service to patients and visitors to the practice.

  • Handle general enquiries, explain practice procedures, and schedule new and follow-up appointments.

  • Use sound judgement and communication skills to ensure that patients requiring urgent, same-day consultations are seen promptly and without disruption to scheduled appointments.

  • Explain practice arrangements and registration requirements to new and temporary patients, ensuring all relevant procedures are completed.

  • Receive and make telephone calls; accurately take messages and direct calls appropriately to ensure timely responses.

  • Record home visit requests with all relevant details and refer to the Duty Doctor where necessary.

  • Process repeat prescription and Med3 requests, ensuring they are prepared for patient collection within 48 hours or as advised.

  • Advise patients of relevant charges for private (non-GMS) services.

  • Enter and update patient information on the clinical system accurately and promptly.

Patient Records and Correspondence:

  • Retrieve and re-file patient records, maintaining strict alphabetical order.

  • Ensure all correspondence, reports, and results are filed promptly and correctly, making sure recent documents are available for consultations.

  • Maintain patient records in good condition, ensuring all essential information is clearly visible on the record cover.

Premises Responsibilities:

  • Open the premises at the start of the day when first to arrive, ensuring all necessary preparations are made to receive patients.

Additional Duties:

  • Accurately enter all new patient registrations into the practice database.

  • Undertake any additional duties appropriate to the role as requested by the Partners or Management Team.
