Whiteacres Medical Centre is a warm, welcoming and supportive practice based in Malvern at the foot of the beautiful Malvern Hills. We have regular Wellbeing sessions for our staff.

We are looking to recruit a part time receptionist/administrator working 20 hours a week over three days:

Monday 8.00am - 5.00pm (1 hour unpaid lunch), Tuesday 8.00am - 16.00pm (1 hour unpaid lunch) Friday 13.30pm - 18.30pm

Main duties of the job

  • Ensure the delivery of high-quality patient services within a safe and efficient work environment by providing effective support to clinicians and staff.
  • Maintain a calm and professional reception area.
  • Be the first point of contact for patients, projecting a positive and friendly image to patients and visitors.
  • Assist with any queries, whether in person, over the phone, or online.
  • Handle patient enquiries efficiently and courteously
  • Process payments and issue receipts for non-NHS services.
  • Assist with care navigation, helping patients find the most appropriate clinician or service. (Training will be provided.)
  • Monitor incoming E-Consult messages, scheduling appropriate appointments or directing them to appropriate member of staff.
  • Accurately record and assess requests for emergency appointments / home visits based on urgency, following practice protocols.
  • Answer incoming phone calls promptly and professionally, ensuring calls are documented and acted upon or redirected as appropriate.
  • Coordinate with GPs, Nurses, and the clinical team to relay information, follow up on documentation, results, and appointments.
  • Monitor the office email account, actioning requests and escalating urgent matters to appropriate member of staff when necessary.
  • Timely action EMIS tasks and DOCMAN workflow.
  • Update and maintain patient records through accurate data entry.
  • Open and lock practice premises as needed, ensuring security protocols are followed.

About us

Whiteacres Medical Centre is situated in the foothills of the Malvern Hills, this purpose-built building was opened in 2000 to provide excellent quality of care to the residents of Malvern.

The number of patients we care for has steadily increased to over 12000 patients.

Whiteacres is proud to be a training practice where we supervise the training of Resident Doctors and Doctors who are training to be GPs from across Hereford and Worcestershire. We are also a teaching practice for the Community Based Medicine (CBM) component of the University of Birmingham.

We have 5 GP partners who lead the practice, 5 employed GPs and usually between 3-5 Resident Doctors (Doctors in training). We have a varied and experienced nursing and health care team who are able to provide specialised care for a variety of long term conditions.

The large administration team comprising of 18 staff members, headed by Dr Thompson as Managing Partner, Mandy Long as Deputy Practice Manager and Jitinder Birdi as Operations Manager all play a vital role supporting all staff in carrying out essential administration tasks and supporting the safe delivery of clinical care. We hold regular meetings for all our staff to share ideas, best practice and support one another.
