Job summary

We are looking for an experienced GP Practice Secretary to join the Harwood Group Practice team. This is a permanent role for 30 hours per week, Monday to Friday. Because we are a busy environment, youll need to be flexible with your shift patterns to help us cover annual leave and maintain smooth operations.

Requirements
  • Direct Experience: You must have previous experience as a medical secretary.

  • Team Player: Youll be working closely with our clinical and admin staff, so being a team player is essential.

  • Adaptability: With two sites and a large patient list, you need to be comfortable in a fast-paced setting.

Please note: We are only accepting applications from those with prior medical secretary experience.

Main duties of the job

  • Referrals Management: Processing and tracking NHS and private referrals using systems like e-Referral (e-RS). This is a huge part of the jobensuring urgent cancer (2WW) and routine referrals are sent quickly and accurately.

  • Letter Typing: Writing letters on behalf GPs to produce referrals, medical reports, and general correspondence.

  • Patient Liaison: Dealing with patient queries regarding their referrals and hospital appointments, often acting as a bridge between the patient and the GP.

  • Liaising with Secondary Care: Contacting hospital departments, consultants' secretaries, and other external agencies to follow up on patient care.

  • General Admin Support: Assisting the Practice Manager and GPs with ad-hoc tasks and occasionally helping the wider admin team during busy periods or leave

    Location: Harwood Group Practice (Harwood and Tonge Moor sites)

    Hours: 30 hours per week (Monday Friday)

    Reporting to: Practice Manager & GP Partners

    Job Purpose

    To provide a comprehensive, high-quality secretarial and administrative service to the GPs and health professionals across the Harwood Group Practice. The post-holder will be responsible for ensuring the efficient management of patient referrals, clinical correspondence, and supporting the practices training and audit requirements.

    Main Duties & Responsibilities

    1. Referral Management & Clinical Correspondence

    • Dictation & Typing: Efficiently and accurately typing for referral letters, medical reports, and general correspondence.

    • Urgent Referrals: Prioritise and process 2-Week Wait (2WW) urgent cancer referrals with high accuracy and urgency.

    • e-Referral Service (e-RS): Manage the electronic referral system, ensuring all documents are attached and sent correctly. Ensuring the referral is sent to the correct department, first time to prevent delays to the patient.

    • Chasing Referrals: Actively follow up on outstanding hospital appointments and referral statuses on behalf of patients and clinicians.

    • Advice & Guidance (A&G): Facilitate the Advice and Guidance process between GPs and secondary care consultants.

    2. Patient Liaison

    • Enquiries: Serve as the primary point of contact for patients regarding referral queries, providing clear information and managing expectations professionally.

    • Communication: Liaison with hospital departments, consultants' secretaries, and insurance companies to resolve administrative issues.

    3. Meeting Coordination

    • Attendance: Attend practice meetings as required (e.g., clinical, MDT, or administrative meetings).

    • Minuting: Take accurate minutes of meetings and ensure they are transcribed and distributed in a timely manner.

    4. Quality Assurance & Audits

    • Referral Audits: Conduct regular audits of referrals to ensure that none have been missed, delayed, or rejected without action.

    • Data Integrity: Ensure all patient information is accurately "read-coded" and updated on the clinical system (EMIS).

    5. Training & Development

    • Staff Induction: Provide specialised referral induction training for new staff including GP Trainees (Registrars).

    • Guidance: Act as the "subject matter expert" for secretarial processes within the practice. Medical terminology knowledge is essential for this role.
