GP Practice Receptionist

Job summary

This is a full-timeposition based on a Monday to Friday schedule. We operate on a rotating shift pattern to ensure full coverage during our opening hours.

  • Service Hours: Monday to Friday, between 07:45 and 18:30.

  • Shift Pattern: You will work alternate shifts each week. For example, one week may consist of early starts (e.g., 07:45 opening), while the following week may consist of late finishes (e.g., 18:30 closing).

  • Consistency: There is no weekend or Bank Holiday work required, providing a consistent weekday routine.

Main duties of the job

Patient Coordination & Navigation

  • First Point of Contact: Managing the reception desk and multi-line phone systems, greeting patients with professionalism and empathy.

  • Care Navigation: Using signposting protocols to ensure patients are booked with the most appropriate professionalwhether that is a GP, Nurse Practitioner, Clinical Pharmacist, or Physiotherapist.

  • Appointment Management: Efficiently using EMIS Web to book, cancel, and reschedule appointments, ensuring maximum clinic utilisation.

Administrative & Clinical Support
  • Prescription Processing: Handling repeat prescription requests, ensuring they are sent to the GP for signing and forwarded to the correct pharmacy.

  • Records Management: Registering new patients, updating personal details, and ensuring medical records are organized and kept strictly confidential in line with GDPR.

  • Results & Correspondence: Relaying test results to patients as instructed by clinicians and processing incoming hospital letters and electronic tasks.

Practice Flow & Safety
  • Environment Management: Keeping the waiting area tidy and ensuring that patient information displays are up to date.

  • Crisis Handling: Identifying "red flag" symptoms during initial contact and following emergency protocols to escalate urgent medical cases immediately.

  • Liaison: Acting as a bridge between the practice and external partners, including hospitals, social services, and community district nurses.

Patient Interaction

  • Greet patients at the front desk and manage the check-in process and deal with enquiries.

  • Answer incoming calls, utilising our clinical system to book, cancel, or amend appointments.

  • Use "Care Navigation" protocols to direct patients to the most appropriate clinician (e.g., GP, Nurse, or Pharmacist).

  • Manage patient expectations regarding wait times and appointment availability with a professional and calm approach.

Administration & Records

  • Accurately update patient records and process new registrations.

  • Handle repeat prescription requests and ensure they are ready for GP signature.

  • Process incoming medical correspondence, scanning and filing documents as required.

  • Communicate test results to patients following GP instruction.

Practice Operations

  • Ensure the waiting area is maintained.

  • Monitor internal "tasks" and emails, ensuring urgent queries are escalated to the relevant staff member.

  • Maintain strict confidentiality at all times, adhering to GDPR and practice safeguarding policies.

Requirements
  • Experience: Previous experience in a GP surgery or a fast-paced customer service environment is preferred.

  • Technical Skills: Proficiency in IT is essential. Experience with clinical software, EMIS Web is a significant advantage.

  • Communication: Clear, concise verbal and written communication skills.

  • Attributes: The ability to stay calm under pressure, multitask, and work effectively as part of a multidisciplinary team.
