Job responsibilities
The post holder will form part of the multidisciplinary team
providing high quality care for patients of the practice. The role of
Receptionist is fundamental to the smooth running of the practice and has a
unique role in building relationships with the patients.
The post holder will be the first point of contact for patients
at the practice. The role is varied and includes administration duties, face to
face work with the public and dealing with telephone enquiries. The post holder
will need to have a clear understanding of customer care and be able to work as
part of a team as well as being able to use their initiative and prioritise
their workload. The post holder will be expected to have a flexible approach to
working hours, covering various shift patterns over 5 days, Monday to Friday.
Main Duties and Responsibilities
The post holder will be required to:
Receive, assist and direct patients in accessing the appropriate
service or healthcare professional in a courteous, efficient and effective way
whilst maintaining patient confidentiality.
Ensure an effective and efficient reception service is provided
to patients and any other visitors to the practice.
Initiate contact with and respond to requests from patients,
other team members and associated healthcare agencies and providers.
Process appointment requests for today and future appointments
from patients by telephone and in person.
Undertake Care Navigation signposting patients to the most
appropriate Health Care Professional.
Receive incoming and make telephone calls as required. Divert
calls and take messages, ensuring accuracy of detail and prompt appropriate
delivery.
Action acute and repeat prescription requests and ensure that
they are ready for collection by the patient within 48 hours (two working
days), either on the computer or manually. Ensuring accuracy of detail and that
the patient is informed of prescription policy.
Hand completed prescriptions to the patient checking names and
address.
Maintain the computer clinical system in an accurate and secure
manner.
Keep the reception area, notice-boards and leaflet dispensers
tidy and free from obstructions and clutter.
General use of computers for appointments, prescriptions,
registering of patients, sending letters to hospital or patients, adding
vaccinations, dealing with practice notes and any other input relating to
medical records.
To ensure that any medical forms brought into the practice are
dealt with efficiently according to practice policy.
To deal with any emergency in reception or on the telephone
according to practice policy.
To maintain housekeeping standards in reception and waiting
area.
To efficiently deal with messages from GPs, nurses and staff
outside the practice such as pharmacies and social services
To answer the phone and communicate messages effectively
To input and receive data from computer and paper systems.
Provide cover for members of the reception team during periods
of sickness and annual leave.
Participate in any training programme implemented by the
practice as part of this employment.
Ensure all mandatory training is completed on an annual basis
including; safeguarding, confidentiality, equality and diversity.
Participate in annual appraisal reviews.
Any other duties at the request of the doctor or office manager
