Job summary

Maida Vale Medical Centre are looking for a part-time Receptionist/Administrator to join our friendly team. The successful candidate applicant will be enthusiastic and confident in dealing with members of the public in a calm and professional manner, whilst delivering excellent customer service.

You will need some flexibility to open and close and cover morning (8.00am to 1.00pm) and afternoons (1.00pm to 6.30Pm). This will be agreed.

The role is patient focused and you will carry out a variety of roles including:

  • Welcoming all patients and visitors to the surgery
  • Dealing with enquiries from patients and external agencies in person and over the telephone
  • Signposting patients to the correct service
  • Completing new patient registrations
  • Filing, Photocopying, scanning
  • Recalling patients for reviews, chronic diseases
  • Referrals to hospitals, district nurses

Job purpose: To ensure that the reception area of the practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the practice team

Duties and Responsibilities

Telephone duties

  • Making appointments
  • Giving out results where appropriate
  • Ambulance bookings
  • Deal with general enquiries
  • Patient recall

Reception duties

  • Open / closing of surgery
  • Register new patients - temporary patients
  • Greet and direct patient and visitors
  • Handing out prescriptions - paperwork
  • Ensure queries are explained and handed over to next shift staff, as necessary
  • Respond to needs of our clinical team during surgery
  • Collect fees from patients for providing non-NHS services
  • Filling of medical records, photocopying, scanning
  • Deal with general enquires

General

  • Input and extract information from practice computer system
  • Observe health & Safety requirements
  • General housekeeping (e.g. Keeping reception and waiting areas tidy)
  • Maintain confidentiality at all times
  • To participate and continue personal development
