GP Reception Deputy Manager

Job summary

21 hours per week.

The GP Reception Deputy Manager supports the Reception Manager in ensuring the smooth, efficient, and effective running of the reception and administrative functions within the practice. This role involves supervising reception staff, ensuring high standards of patient service, maintaining confidentiality, and supporting practice management in the delivery of excellent primary care. The post holder will act as deputy for the Reception Manager in their absence.

Main duties of the job

Team Leadership & Supervision

Support the Reception Manager in the day-to-day supervision of the reception team.

Assist with staff recruitment, induction, training etc

Help manage rotas, annual leave, and sickness cover to ensure adequate staffing.

Monitor team performance

Assist the Reception Manager with appraisals, updating policies and protocols

Assist the Reception Manager with CQC compliance

Foster a positive, professional, and patient-focused team culture.

Reception Operations

Ensure reception duties are carried out efficiently

Assist the Reception Manager with handling IT Issues

Oversee and complete the booking of appointments, handling of enquiries, and processing of prescription requests.

Support implementation and improvement of reception workflows and systems.

Identify and resolve operational issues to maintain smooth patient flow.

Patient Service & Communication

Handle complex or sensitive patient queries and complaints in a professional manner.

Promote a welcoming, caring, and efficient front-of-house environment.

Support communication between patients, clinicians, and administrative staff.

In addition to the primary responsibilities, the medical administrator may be requested to:

Partake in audit as directed by management

Support administrative staff, providing cover during staff absences

Scanning of patient related documentation

Contribute to practice meetings

To attend staff and team meetings as necessary.
