GP Receptionist

Job summary

We are a small and friendly NHS GP practice in East Brent, currently seeking an experienced GP Receptionist to join our team on a temporary basis to cover staff absence. This is a key front-line role in supporting our patients and maintaining the smooth running of the surgery. 6 hours per morning 8:00-2:00 Mondays and Tuesdays (with the option of covering further staff annual leave when required)

Main duties of the job

Key Responsibilities

  • Greeting and assisting patients both face-to-face and over the telephone
  • Managing appointment bookings, cancellations, and queries using EMIS Web
  • Processing prescription requests and handling patient documentation
  • Managing incoming/outgoing correspondence and tasks
  • Supporting clinical staff and maintaining patient confidentiality at all times
  • Assisting with general administrative duties

Requirements

  • Previous experience in a GP surgery receptionist role is essential
  • Confident using GP practice software including EMIS web and Microsoft Word.
  • Strong communication and interpersonal skills
  • Ability to remain calm, organised, and professional under pressure
  • Friendly, reliable, and a good team player
  • Able to adapt quickly to a busy environment with minimal supervision

Job responsibilities

Main purpose of postTo provide a first point of contact for patients and visitors and act as a focal point of communication between patients, doctors and other members of practice staff and outside agencies. To work in Dispensary as required.

Main Duties and Responsibilities of Post

Reception duties:

To greet all visitors/patients and ascertain their requirements

Answer telephone, divert calls and pass on messages as appropriate

Ensure efficiency of surgery flow to consulting and treatment rooms

Ensure patients who need urgent consultation are seen in a logical and non-disruptive manner

Explain practice arrangement and formal requirements to new patients, for those seeking temporary cover and ensure procedures are completed

Faxing urgent requests

Advise patients of relevant charges for non-NHS services, accept payment and issue receipts, if required

Respond to all queries and requests for assistance from patients and visitors

Enter requests for home visits in diary and inform doctor as soon as conveniently possible with relevant information

Pass on prescription requests to Dispensary

Ensure reception and waiting areas are kept tidy

Management of Appointment System

Ensure familiarity with all appointment systems, both regular and incidental variations, including attached staff such as MSK specialist, Health Coach and Pharmacist

Book appointments on computer system, giving reason if appropriate, especially for treatment room and urgent appointments

Monitor effectiveness of system and report any problems

Management of Medical Records (Computerised)

Update current patient computer record details as appropriate

Enter data as requested following consultation, correspondence, etc

Register new patients and pass details to administration staff

Register those seeking temporary or immediately necessary treatment

Mail/Courier Service

Open and distribute in-coming mail to appropriate personnel

Ensure all out-going mail is packed and addressed appropriately and external mail is stamped and recorded in post book

Ensure samples and specimens awaiting collection are appropriately directed to nurses

Preparation of consulting rooms

Ensure that consulting rooms are prepared in readiness for each consulting session, checking full range of forms, specimen containers, etc, and restocking as required

Ensure that consulting rooms are checked at end of each session and are left tidy and secure. Ensure that all specimens are removed and packed for collection or placed in fridge overnight.

Other duties

Monitor stock levels of stationery, specimen forms, containers etc and liaise with appropriate member of staff re re-ordering

Provide tea or coffee at appropriate times as requested and ensure that crockery is collected from rooms at the end of each session and washed-up

Perform any other delegated task appropriate to the post

Start and End of Day procedures

Open up premises at start of day, set alarm to day function and make all necessary preparation to receive patients

Secure premises at end of day, ensure the building is totally secure, internal lights off and alarm activated.
