Job summary

We are seeking an enthusiastic and motivated practice manager to join our friendly 3 partner training practice in Market Lavington, close to Devizes. Our surgery cares for over 5500 patients and our team of clinicians includes GPs, GP registrars, nurses, physicians associates and a clinical pharmacist. They work alongside an experienced administrative team in our purpose-built, well-maintained premises.

Main duties of the job

We belong to Devizes PCN (with 3 other practices) and are part of the Urgent Care Team operating from Devizes Health Centre providing on the day care to 30,000 patients.

The successful applicant will have the support of the senior administrators to:

  • provide accessible leadership to the whole team
  • oversee the daily operation of the practice
  • work with the partners on strategy and business development
  • take a lead role in HR, finance and NHS regulatory compliance
  • manage patient liaison to ensure high quality patient care and satisfaction
  • work collaboratively with the Devizes PCN

Experience of working in general practice or the wider NHS is preferred but not essential if applicable skills can be demonstrated.

Provide leadership and management skills to enable the practice to meet its agreed aims and objectives within a profitable, efficient, safe and effective working environment.

Job responsibilities:

Strategic management and planning

The post holder will:

  • Keep abreast of current affairs and identify potential threats and opportunities
  • Contribute to practice strategy with the partnership
  • Maintain effective communication both within the practice and with relevant outside agencies

Financial management - with our practice finanace assistant

  • Manage practice budgets and seek to maximise income
  • Understand and report on the financial implications of contract and legislation changes
  • Manage practice accounts; submit year-end figures promptly and liaise with the practice accountant
  • Monitor cash-flow
  • Manage and reconcile bank accounts; negotiate/liaise with the practice bankers
  • Manage contributions to the practice pension scheme(s) and maintain appropriate records

Human resources

  • Oversee the recruitment and retention of staff and provide a general personnel management service
  • Manage staffing levels within target budgets
  • Organise and oversee staff induction and training, and ensure that all staff are adequately trained to fulfil their role
  • Develop and implement effective staff appraisal
  • Implement effective systems for the resolution of disputes and grievances
  • Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies)

Organisational

  • Convene meetings, prepare agendas and ensure distribution of minutes as necessary
  • Oversee Practice protocols and procedures
  • Oversee the cleaning and maintenance of the premises and fire prevention and security systems.
  • Develop and review Health & Safety policies and procedures and keep abreast of current legislation
  • Arrange appropriate insurance cover

Patient services

  • Adopt a strategic approach to the development and management of patient services
  • Ensure service development and delivery is in accordance with local and national guidelines
  • Ensure that the practice complies with NHS contractual obligations in relation to patient care
  • Maintain registration policies and monitor patient turnover and capitation
  • Oversee and/or organise surgery timetables, duty rotas and holiday cover
  • Take the lead in complaints management
  • Liaise with patient groups

Information management and technology

  • Support and monitor staff in the use of IT; organise IT training
  • Set targets and monitoring standards for data entry and data collection
  • Oversee the maintenance of the practices / PCN website.

The post-holder will implement and lead on the full range of promotion and management their own and others health, safety and security as defined in the practice Health & Safety policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures.
