Job summary

Primary Care Networks (PCNs) are groups of GP surgeries working together with a range of local providers, including community services, social care, and the voluntary sector. PCNs build on core primary care services and enable greater provision of proactive, personalised, coordinated and more integrated health and social care through delivery of national and local service specifications alongside PCN initiatives. Cheltenham Peripheral PCN is forward thinking and continuously looking for further areas of growth. All five GP Practices meet on a regular basis, placing our patients at the heart of the work that we do. The Successful candidate will need to possess excellent knowledge of all Microsoft applications and wider IT skills, be highly organised, flexible, and comfortable with adapting their workload to respond to changing and conflicting priorities. This role is extremely varied, with constantly changing priorities and you will be expected to be happy working within an environment where each day is different. This role is suited to a motivated individual wanting to apply their advanced administration and organisational skills to support the day-to-day administration of an expanding team of NHS professionals, dealing with confidential and sensitive information. A knowledge of the local Primary Care health landscape and a flexible approach to workflow will make you the ideal candidate for this role.

Main duties of the job

The post holder will offer administrative support to the PCN Business Manager and Clinical Directors of Cheltenham Peripheral Primary Care Network (PCN). This individual will be a key point of contact for staff, member practices and will be able to sign post queries to relevant individuals as appropriate. The post holder will provide support in monitoring the progress of activity undertaken by the PCN and analyse and collate data for presentation to internal and external stakeholders. This role involves providing high quality, comprehensive and effective administration skills across a wide variation of work.

The post holder will need to be capable of independent travel across the Cheltenham Peripheral area and work flexibly to meet the needs of the PCN Business Manager.

Cheltenham Peripheral Primary Care Network is made up of 5 GP surgeries within Cheltenham. Leckhampton Surgery, Sixways Clinic, Cleevelands Medical Centre, Stoke Road Surgery and Winchcombe Medical Centre. Working alongside the Practices the multidisciplinary team care for 52,000 patients in their communities. The Cheltenham Peripheral PCN is a growing organisation and works innovatively and proactively to develop new services to respond to the demand on Primary Care, working collaboratively enables us to adapt to the ever changing dynamic of our populations health care needs. This new role is a chance for an individual to help shape and support the organisation in the work that we do.

Operational Responsibilities

  • Provide direct support to the PCN Business Manager and Clinical Director.
  • Organise meetings or events related to any PCN activity including:
    • PCN Monthly Board meetings
    • Coordination of ARRS team meetings
  • Support implementation of initiatives through timely and relevant information analysis and administrative support.
  • Communicate with member practices around ARRS colleagues movements that may affect rotas such as annual leave, study leave.
  • Assist the PCN Business Manager with recruitment of any PCN vacancies, including applying for any additional funding attached to the role.
  • Deliver against agreed objectives, achieving quality outcomes.

Functional Responsibilities

  • To prepare, produce, review, and circulate all documents required for meetings in a timely fashion and to a high standard.
  • Minute meetings where required. Drawing up action points, circulating and chasing outcomes, developing, and managing implementation plans.
  • Managing and appropriately distributing mail via an NHS email account.
  • Answering queries and questions in a timely fashion, signposting as required.
  • Managing the Cheltenham Peripheral One Hub, including all rotas are created and compliant with GPAD, rotas are added to the system, completing all tasks & queries.
  • Compiling reports
  • Compiling Impact and Investment Fund Searches
  • Ensuring Financial Information is recorded and filed correctly.

Support duties

  • Carry out timely and accurate information analysis and reporting on agreed areas and present findings in an agreed manner. This will include running reports in individual practices clinical systems to present measurement of performance against targets.
  • Supporting with the administration of PCN governance and regulatory documentation as directed by the Business/Operations Manager
  • Assist the PCN Leadership team in coordination of PCN projects including arranging project meetings, managing administration behind project milestones and objectives, maintaining project documentation.
  • Develop and maintain electronic systems and/or databases required for the role.
  • Maintain all administrative and information resources in keeping with local and national guidance.
  • Maintain positive relationships with a broad range of internal and external stakeholders.
  • Participating in relevant internal and external working groups and initiatives to provide information to inform the development and delivery of the PCNs strategic objectives.
  • Work collaboratively across organisations to develop and implement project management processes and data collection systems that will provide accurate and timely data.
  • Communicate information and issues, including briefings and reports to support the development of the PCN.
  • Be capable of working autonomously but also as part of a team.

To provide reports as and when requested which may require specific searches to be built.
