Job summary

We are seeking an experienced and highly organised Dermatology Administrator & GP Receptionist to join our busy and friendly practice team.

This is a dual-role position, primarily supporting our Community Dermatology Service delivered under contract with the local Integrated Care Board (ICB), alongside providing reception support within the GP surgery.

The successful candidate will have previous experience in a GP practice or NHS healthcare setting and demonstrate excellent administrative, communication, and organisational skills. Experience handling referrals, managing clinical systems, and working within NHS pathways is essential.

Main duties of the job

The post holder will primarily be responsible for the administration and coordination of the Community Dermatology Service, including:

  • Processing and managing incoming dermatology referrals in line with service criteria

  • Booking and coordinating dermatology clinics

  • Managing waiting lists and ensuring compliance with KPIs and contract targets

  • Liaising with GP practices, clinicians, and the ICB regarding referrals and pathway queries

  • Responding to patient queries relating to dermatology appointments

  • Supporting data collection, reporting, and audit requirements

In addition, the post holder will support core GP reception duties, including:

  • Managing incoming calls and patient enquiries

  • Booking GP appointments and signposting patients appropriately

  • Front-of-house reception cover

  • Processing registrations and general administrative tasks

The dermatology administration component will be the primary focus of the role, with reception duties supporting the wider practice team as required.

About us

We deliver the Mid-Notts Community Dermatology Service for a population of approximately 330,000 patients across Mansfield & Ashfield and Newark & Sherwood. The service is commissioned by the local Integrated Care Board and is currently expanding further into South Nottinghamshire. The dermatology service operates from within our GP surgery and provides high-quality, community-based specialist care.

Alongside this, we are a two-partner GMS (General Medical Services) teaching practice with a steadily growing patient list of approximately 4,370 patients. We pride ourselves on delivering excellent clinical care with a strong ethos of service to our local community. This commitment is reflected in consistently high QOF achievement, a low level of complaints, and regular positive feedback from patients. We were rated GOOD in all areas at our most recent CQC inspection (08.06.22).

We are also a recognised teaching practice, supporting medical students from the University of Nottingham, PA students from Sheffield Hallam University, and De Montfort University, Leicester. Personal development and ongoing training for the entire practice team remain a longstanding priority.
