Job summary

This is a new role to further build on an established base of learning and training within the Affinity Care group.

The successful candidate will work closely withthe Learning & Education Director and Head of HR coordinating training and education activities across the entire organisation. This includes events for directly employed colleagues and trainees on placement.

Main duties of the job

Working closely with the Head of Human Resources and the Learning & Education Director, the Training & Development Co-ordinator will contribute to ensuring training and education activities support the organisations strategic plans. The post holder will be responsible for providing planning and coordinating events and communicating with relevant managers to ensure rotas are planned to accommodate such events.

Additionally, work closely with the Learning & Education Director, supporting planning activities and execution of Protected Learning Time (PLT) events. This includes supporting pre-planning (one quarter in advance of the event).

The postholder should approach working hours and location in a flexible manner and hours of work and duties may change subject to the needs of the organisation.

Job responsibilities

Primary Duties and Responsibilities

Support and co-ordinate all aspects, planning and implementation of PLT events. Contribute to a clear and structured process for highlighting training needs and work with colleagues to include identified requirements in the PLT timetable.

Ensure all operational teams and line managers receive regular mandatory training compliance reports and prompt colleagues to regularly update such training.

Work with colleagues to co-ordinate and administer nonclinical training. Regularly discuss requirements and assist and support implementation of any training requirement.

Coordinate the onboarding of Medical and Clinical Students and GP Registrars on placement with Affinity Care practice ensuring that they have sufficient access to systems, including smartcard and pathology ordering systems.

Partner with relevant managers/senior leads to ensure rotas for students and registrars are in place ahead of clinics and coordinate with Patient Services Managers and Assistant Patient Service Managers to ensure trainee and registrar clinics run smoothly.

Work with GP Trainers to ensure their administrative needs are met and that tutorials are well-supported where needed.

Ensure the coordination of trainees and registrars is conducted with a view of the whole organisation and ensure that training and education support and coordination is accessible to all teams, practices, and trainers across Affinity Care.

Be the first contact for clinical staff whom with identified training needs.

Act as a point of contact with Health Education Yorkshire and Humber, NHS England, Bradford and Craven District Integrated Care Board and educational institutions through whom training activity is commissioned.

Ensure correct funding flows exist between Affinity Care and training commissioners and liaise with the Finance and Payroll Team to ensure all training-related payments are received in a timely manner.

Act as support for GP Fellow / Nurse Fellow and Training Hub Training applications and invoicing.

Other duties as reasonably required to support the delivery and development of training and education within the organisation.

Health, Safety and Security

Follow Health and Safety Policies and guidelines, including fire procedures and those pertaining to clinical areas of risk. Use safe working procedures and report incidents using the incident reporting system.

Monitor work areas and practices to ensure they are safe and free from hazards and conform to health, safety and security legislation, policies, procedures, and guidelines.

Exercise strict confidentiality at all times. Address any breach and advise HR colleagues or COO accordingly.
