Job summary
We have a
fantastic opportunity to join our friendly practice as Admin and IT support.
This is a part time role of 20 hours per week, ideally spread over 5 days. The
role is based in Kingswood within a friendly and welcoming neighbourhood.
We are looking
for a candidate who is willing to undergo the training required to fulfil the
role. We are expecting to have to train the new candidate and would encourage
you to apply if you have a good level of basic IT knowledge that you would be
excited to further expand into NHS systems, troubleshooting and maintenance.
The successful
candidate will be a quick learner who can apply an already sound knowledge of
computer systems to support all staff. Knowledge and experience of working in
the NHS is not essential, however a reliable, accurate and flexible mindset is.
All training will be provided, and a training or apprentice scheme could be
available for the right candidate.
Main duties of the job
There
are two main areas that the role will cover: General IT support and patient
administration. Duties can include but are not limited to, supporting with
practice IT troubleshooting, maintaining the asset register and adding/removing
users where necessary. Providing IT support to the whole practice, ensuring all
issues are resolved or escalated in a timely manner and provide internal training.
Additionally, you will be providing support with regular data inputting tasks,
monitoring of mailboxs and banking private fees. Finally, your duties will be
to create both internal and external newsletters and to support patient
administration such as patient clinics or booking of appointments.

The following are the core
responsibilities of the Admin and IT Support role. There may be on occasion,
a requirement to carry out other tasks; this will be dependent upon factors
such as workload and staffing levels:
a.
To support the Business and IT Lead with daily data
inputting, including matching invoices for payment and daily monitoring of
mailbox.
b.
Support in effective troubleshooting of all practice IT
infrastructure, including hardware, office systems, email, telephone,
internet, and clinical systems.
c.
To support the Business and IT lead to carry out regular
system updates and performance checks.
d.
To complete an induction tick list covering all IT
requirements for new starters to the practice.
e.
Reporting of IT issues to SCW IT support using an on-line
portal.
f.
To ensure all staff have the appropriate access to the systems
and new users are given the correct access for their roles, for example,
smartcards and NHS email accounts.
g.
Creating of the monthly internal and patient newsletters.
h.
To upkeep the asset register in line with practice
policy.
i.
Support with remote access including user set up and
staff support.
j.
Keep practices social media platforms up to date and
relevant.
k.
Process DBS checks for new starters including verifying
ID using practice protocols.
l.
Reconcile our petty cash tin monthly.
m. To support the
Business and IT Lead with all banking activities.
n.
To lead the practice website changes and ensure it is up
to date and reviewed regularly.
Secondary

In
addition to the primary responsibilities, the Admin
and IT Support role may be requested to:
a.
Support the Business and IT Lead to ensure back-up and
disaster recovery procedures are in place, effective and in date.
b.
To support the Business and IT Lead in the writing of all
IT related policies and protocols.
c.
Support the practice with patient admin duties suitable
to the role, this could include the booking of covid or flu clinics.
d.
Support general administrative tasks within various teams
e.
Partake in audit as directed by your line manager.
f.
Support the management team to create practice leaflets
to display in waiting areas and on social media platforms.
g.
Create and update our auto forms within our clinical
systems.
