Job summary

The County Practice are looking to recruit a full time clinical administrator/coder to join our expanding clinical administration team. Contracted hours would be 37.5 hours per week, typically working 4.5 days, with additional hours to cover holiday and sickness as required.

Clinical administration roles within GP practice are evolving, its a dynamic role supporting our clinical colleagues ensuring patient data is recorded accurately and efficiently. You will have excellent communication skills and team working abilities. The clinical admin team are at the centre of the practice driving forward data quality.

Prior experience of working with clinical systems such as EMIS or SystmOne and an understanding of clinical coding would be an advantage, but not essential as full training will be given, so a willingness and ability to learn quickly will be key to your success in this role.

We are looking for someone who can make this role their own; using the IT that's available currently with the ability and enthusiasm to adapt the way they work and make things as efficient as possible.

Main duties of the job

You will be working in a team who are the first point of contact with hospitals and other health care providers. The clinical admin team receive all electronic correspondence from the providers. Varying systems are used to provide information to the practice for example emails/clinical systems document manager etc .The correspondence needs to be reviewed, coded and distributed as a appropriate in a timely manner. The team also receives internal documents and tasks which need to be managed efficiently.

You need to be accurate and work closely with the team to achieve the team targets.

Job responsibilities

Primary key responsibilities

The following are the core responsibilities of the clinical coder. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.

a. Accurately clinically coding data on the EMIS system into the patient record ensuring records are updated accurately and in a timely fashion.

b. To summarize incoming medical records of new patients and code the required information into the patient record.

c. Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action

d. Inputting and extracting data as required to support practice reports

e. Filing and storing records as required

f. Photocopying documentation as required

g. Actioning all incoming correspondence, emails and mail in a timely manner

h. Scanning patient related documentation and attaching scanned documents to patients healthcare records

i. Inputting data into patients healthcare records as necessary

j. Answering incoming telephone calls, transferring calls or dealing with the callers request appropriately

k. Carrying out system searches as requested.

l. To monitor the performance of the communication your are involved with, raise concerns if there are problems and liaise with helplines or providers to services to solve problems.

m. To work as part the Practice team and become involved in staff training of IT skills as necessary.

n. Supporting all clinical staff with general administrative tasks as requested

Secondary responsibilities

In addition to the primary responsibilities, the clinical coder may be requested to:

a. Review and update the practice coding policy as required in conjunction with the Administration lead.

b. Partake in audit as directed by the audit lead

c. Support reception staff, providing cover during staff absences

d. Book appointments

e. Complete opening and closing procedures in accordance with the duty rota
