Job summary

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
  • Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
  • Undertake a variety of administrative duties to assist in the smooth running of the Practice
  • Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies

Main duties of the job

  • Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols
  • Maintaining and monitoring the Practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with Practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
  • To undertake summarising of patient records
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance to Practice and Trust staff as required from time to time, including word/data processing, filing, photocopying
  • Undertake the scanning of letters and other post
  • Taking and maintaining accurate petty cash records
  • To ensure practice filing systems and protocols are kept up to date
  • Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter

Hazelmere Medical Centre is an established practice situated in the town of Blaby, 5 miles south of Leicester City Centre. The practice has a patient list size of approximately 7500 patients and is a well-established teaching and training practice. The clinical team exists of3 GP partners, 2 salaried GPs, 3 Physician Assistants, 2 Practice Nurses, 2 Healthcare Assistants and a Practice Pharmacist. Hazelmere Medical Centre is a member of the South Blaby & Lutterworth Primary Care Network.

Job responsibilities

To serve as the first point of contact for patients and visitors, providing a welcoming and efficient front-of-house experience while supporting the clinical and administrative functions of the surgery.

Key Responsibilities:

Patient Interaction:

  • Greet patients, visitors, and callers in a professional and courteous manner.
  • Assist patients with inquiries, concerns, and other needs.
  • Anticipate patient anxieties and maintain a calm and orderly reception area.

Appointments:

  • Book, and manage patient appointments using the surgery's appointment system (SystmOne).
  • Notify medical staff of patient arrivals and manage the flow of appointments to minimise delays.
  • Process appointment requests from patients, staff, and external agencies.

Administrative & Clerical Tasks:

  • Answer and transfer phone calls, taking messages when necessary.
  • Process incoming and outgoing system messages.
  • Handle patient registrations and update patient demographic information in records.
  • Scan, file, and retrieve patient-related documents and records.
  • Act as a liaison between patients, doctors, nurses, and other medical departments.

Information Management:

  • Ensure the confidentiality and integrity of all patients, staff, and practice information in compliance with regulations.
  • Maintain and update patient records accurately.

Office Management:

  • Monitor and maintain inventory of stationery and office supplies.
  • Ensure the reception area and public notice boards are kept tidy.
