The duties and responsibilities to be undertaken by members
of the practice administration team may include any or all the items in the
following list. Duties may be varied
from time to time under the direction of the senior receptionist/practice
manager, dependent on current and evolving practice workload and staffing
levels:
You
may be required to do the following:
Opening
up/locking-up of practice premises and maintaining security in accordance with
Practice protocols
New Patient
Registrations management
Processing and distributing
incoming mail
Taking messages, tasks and
passing on information
Filing and retrieving
paperwork, Lloyd George Files,
registration data.
Computer data
entry/data allocation and collation; processing and recording information in
accordance with practice procedures
Initiating contact with
and responding to requests from clinicians,
management, patients, other team
members and associated healthcare agencies and providers
Managing requests for
information, and providing
updated administrative details with regards care navigating.
Providing clerical
assistance to practice staff as required, including word/data processing,
filing, photocopying, and scanning
Dealing with patients
queries and questions to solve issues and thus supporting
the clinical team
Main duties of the job
To be considered, for this exciting role, you must have:
- Reception or customer care experience is essential
- The person must be an excellent communicator both spoken and written
- Must have PC skills will be able to use basic Word, Excel and e-mail
- Must be able to work within processes/procedures
- Responding to patient queries and liaising with the wider primary care team.
- Managing appointment requests and signposting patients to our range of services and generally dealing with all front of house requests.
- Maintaining patient records and maintaining patient confidentiality.
- Utilising other information systems to support efficient workflow processes.
- Emailing, scanning and coding clinical correspondence. Processing prescription requests in a timely manner.
- Supporting patients to health promotion and recalls and recalls campaigns.
- Encouraging uptake of our digital tools to support patient self-care, .eConsults, Ask First, NHS Digital App etc.
- Taking part in all mandatory training, annual appraisal and continued education, learning and development.
- The ability to communicate with a wide range of people in a kind, professional and caring way.
- Work effectively with colleagues as part of a team.
- A willingness to learn and progress with a can do attitude.
- Previous experience of working in the NHS is welcome but not essential.
- Effective IT skills are an advantage.
