Job summary

We are recruiting for part time receptionist at our practice based in Brixton :

8am-Midday Monday-Wednesday & 7am-11am Thursday & Friday - 20 hours per week

The successful candidates will be an integral part of our Primary Care team, supporting the delivery of high standard patient care. As the first point of contact for our patients, they will have excellent customer service experience preferably in a patient focused environment and experience of the EMIS clinical system would be an advantage but is not essential.

The successful candidate will be required to be flexible, providing cover for annual leave.

Main duties of the job

  • Assisting our patients both in person and on the telephone
  • Providing administrative support to our clinical team
  • Liaising with outside agencies in relation to patient care
  • Administrative tasks - Scanning, Responding to emails, patient registrations

About us

We are a busy GP surgery situated in Brixton. We have a large multi disciplinary team providing a wide range of services and are part the Brixton and Clapham Park Primary Care Network.

The successful candidate will receive full training and induction and will be supported by our Assistant Practice Manager and Team Leader based on site.

JOB TITLE: Medical Receptionist

RESPONSIBLE TO: Team Leader

Summary

Receive, assist and direct patients in accessing the appropriate services or healthcare professional in a courteous and efficient manner.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Receptionists will receive instruction and be accountable to the Team Leaders and ultimately the Practice Manager or Partners.

It is important that all members of staff are prepared to take on additional duties or relinquish existing duties in order to maintain efficient running of the practice. The Partners reserve the right to redistribute duties and functions among members of staff from time to time, and requests for such changes shall not be reasonably refused.

Job responsibilities

Opening/securing of Premises

In accordance with instructions from Team Leader and following all security procedures and protocols.

Reception duties

· Prepare daily surgeries and clinicians rooms

· Receive/direct patients appropriately.

· Book computer appointment requests from patients either by telephone or in person

· Take and record accurate messages on the computer system.

· Deal with home visit requests.

· Report to manager matters affecting health & safety and any security issues.

· Liaise with outside organisations where necessary.

· Should a patient have cause to complain, to direct the patient appropriately following the in-house complaints procedures within the practice.

· To work in accordance with written policies, procedures and protocols

Clerical/Admin Duties

· Fax & photocopy as requested

· Computer target work as directed

· Scanning and coding of hospital letters if required

· Booking of hospital transport as required

· Extract and file patient medical records as necessary

· Process repeat prescription requests in accordance with practice guidelines

· Participate in any project or audit that the practice may do from time to time

· Any other admin tasks as delegated

Housekeeping Duties

· Ensure waiting room area is tidy and ready to receive patients

· Tidy consulting rooms if necessary after each clinic.

· Tidy and sort magazines and leaflets when necessary; discard old/damaged items.

You may be allocated any other tasks necessary towards the smooth running of the practice and falling within what might reasonably be considered to be receptionist's duties.

Education

· Attend practice meetings.

· Attend suitable educational courses outside the practice.

· Attend training sessions within the practice.

· Complete mandatory Bluestream modules annually.

Confidentiality:

· In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately

· In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential

· Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards

· Actively reporting of health and safety hazards and infection hazards immediately when recognised

· Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role

· Undertaking periodic infection control training (minimum annually)

· Reporting potential risks identified

· Demonstrate due regard for safeguarding and promoting the welfare of children.
