Job summary
We are looking for an enthusiastic
medical receptionist to join our team, for a 7 month fixed term maternity
cover, starting October 2025.
Hours: 20 hours per week.
Shifts: Monday to Friday, required to work flexibly between 8am
and 7pm to cover annual leave and sickness.
Main duties of the job
You will be an essential part of our busy reception, welcoming patients and visitors with a friendly and professional manner. Your responsibilities will include:

Directing and signposting patients efficiently to the appropriate healthcare services or professionals

Receiving and making telephone calls as required

Creating a positive and welcoming environment for patients and visitors

Handling a variety of administrative tasks to support the smooth running of the practice

Assisting clinical staff and the wider team as needed
Our practice serves a patient list of approximately 6,300, many of whom experience high levels of deprivation and ill health. This role offers a unique and rewarding opportunity to make a real difference in the lives of our patients.

Our practice includes 5 GPs, a Practice Manager, an Office Manager, a nursing team, and eight reception and administrative staff. We are also part of a wider Primary Care Network (PCN), with clinical staff working across multiple sites.

- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Transfer calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Monitor online requests and assign online consultations to the appropriate person, in line with practice protocol.
- Enter requests for home visits into the appointment book, ensuring careful recording of all relevant details and where necessary refer to the doctor on duty.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required and in a timely manner, to ensure that all information is available when needed.
- Ensure that all office and public areas are kept tidy for use.

- Familiarity with clinical systems (e.g., EMIS, Docman, Footfall and Accurx)
