Job summary
We are looking for an enthusiastic
medical receptionist to join our team, for a 12 month fixed term maternity
cover, starting the end of May 2025.
Hours: 20 hours per week.
Shifts: Monday to Friday, required to work flexibly between 8am
and 7pm to cover annual leave and sickness.
Main duties of the job
The role involves being part of a busy reception, assisting
patients by directing and signposting to the appropriate healthcare services or
professionals efficiently. Responsibilities
include receiving and make telephone calls as required, creating a positive image
for patients and visitors, handling administrative tasks to ensure the smooth
operation of the practice, including support for clinical staff and the team.
About us
We have a list size of approximately 6,300 patients, who often
have high levels of deprivation and ill health. Working here offers a real
opportunity to make a difference in the lives of our patients.
Our practice has 5 GPs, Practice Manager, Office Manager, nursing
team and eight reception and administrative staff. We also have access to
clinical staff that work across multiple sites in our PCN.
We are a training practice for the Black Country Vocational
Training Scheme.

Job responsibilities
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Transfer calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Monitor online requests and assign online consultations to the appropriate person, in line with practice protocol.
- Enter requests for home visits into the appointment book, ensuring careful recording of all relevant details and where necessary refer to the doctor on duty.
- Action repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours.
- Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required and in a timely manner, to ensure that all information is available when needed.
- Ensure that all office and public areas are kept tidy for use.
