Assistant Practice Manager

Job summary

We are seeking a highly motivated and organised Assistant Practice Manager to support the smooth running of our busy and friendly GP practice. Working closely with the Practice Manager and admin staff, the post holder will play a key role in the day-to-day operational management of the practice, ensuring the delivery of high-quality, safe, and effective services to our patient population.

This is an excellent opportunity for an experienced administrator or supervisor looking to develop their management career within primary care.Support the Practice Manager in all aspects of practice operations and service delivery.

Operational Management

Support the day-to-day running of the practice, ensuring efficient and effective service delivery. Monitor appointment systems, patient flow, and clinical rotas Assist in resolving operational issues and ensuring continuity of services

Main duties of the job

Staff Management & Leadership

Provide day-to-day supervision and support to administrative and reception staff.Assist with training, and ongoing development

Support staff rota management, attendance monitoring, and performance management

Contribute to and undertake staff appraisals for line-managed staff

Promote a positive, inclusive, and supportive working environment

Patient Services

Ensure a high standard of patient care and customer service at all times

Support the management of patient complaints in line with practice policy

Promote and support the use of online services, including the NHS App and e-consultation systems . Monitor and manage DNAs (Did Not Attend appointments)

Quality & Compliance

Support the implementation of systems to ensure compliance with CQC standards and regulations Assist in maintaining policies and procedures, including COSHH and Health & Safety

Contribute to clinical governance, audits, and quality improvement initiatives

Support delivery and monitoring of QOF (Quality and Outcomes Framework) targets

Ensure compliance with safeguarding policies for children and vulnerable adults

Finance & Administration

Support financial processes including invoicing, budgeting, and cost control

Oversee administrative elements of QOF and enhanced services

IT & Systems

Support the effective use of clinical systems and practice IT infrastructure
