Admin Supervisor

Job summary

We are seeking an experienced and motivated Admin Supervisor to lead our admin reception team within a busy NHS GP practice. Reporting to the Admin Services Lead, you will oversee day-to-day operations, support staff development, assist with rotas and sickness management, and help drive improvements in patient service, whilst continuing being an integral part of the admin team. If you have strong leadership skills, experience in healthcare administration, and a passion for excellent patient care, we would love you to apply.

Main duties of the job

- Oversee the day-to-day performance and duties of the admin reception team, ensuring a professional, courteous, and efficient service to patients and staff. - Provide hands-on support and guidance to the team, addressing any queries or challenges as they arise. - Support staff wellbeing by being approachable and proactively identifying any concerns or areas requiring additional support.

- Assist with rota planning and adjustments to ensure adequate staffing levels at all times. - Support with managing sickness reporting and maintain accurate sickness absence records. - Conduct or assist with return-to-work interviews following periods of absence. - Support with staff appraisals and one-to-one meetings as directed by the Admin Services Lead.

- Assist with the implementation of new systems, processes, and practice-wide initiatives to improve efficiency and patient care. - Ensure that team members are aware of and adhere to practice protocols, including data protection and confidentiality requirements. - Monitor the allocation and completion of administrative tasks such as patient registrations, recalls, document processing, and ensure targets are met.

- Ensure the team delivers a positive patient experience and follows agreed protocols for dealing with difficult or sensitive situations.

- Maintain a tidy and safe working environment in accordance with health and safety requirements.

Reports to: Admin Services Lead Responsible for: Admin team members Location: Princes Medical Centre -However, there may be a requirement for cross site working at our Bransholme Health Centre site.
