We are looking for a hard working and patient focused Secretary to join our friendly practice family.
Candidates must be able to work in a highly demanding fast paced environment and work well under pressure.
This position would especially suit an applicant with previous experience in a primary care setting with an interest in maintaining excellent patient relationships.
Main duties of the job
Being a Medical Secretary involves providing secretarial support to the Doctors and clinical team. Providing efficient, high quality secretarial, administrative and support services to the team.
The aim of the role is to support and navigate patients to the most appropriate care for their needs including typing of referrals, arranging hospital appointments
Candidates must have excellent communication and computer literacy skills are essential.

Job responsibilities
- To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes etc. in an accurate and quality manner.
- To initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- Manage the practice emails on a daily basis
- To act as minute taker at meetings when required and to ensure that appropriate administrative follow-up action is taken to avoid delay in ensuring patients receive treatment/medication/changes in medication as quickly as possible.
- Accurate and exact typing of referrals using Lexacom including the checking of all patients, correct name, age and address, ensuring that any urgent/2ww referrals are given priority
- Submitting referrals using the Choose & Book system including 2ww referrals and booking appointments where possible.
- Actioning all tasks sent by clinicians and colleagues in a timely manner.
- Emailing of urgent letters and referrals as required
- Arranging hospital appointments and providing private referral letters as appropriate
- Copying and collating all relevant attachments to referrals e.g., printouts, results.
- Have the ability to manage an ever-changing fast paced workload.
- To work flexibly to provide efficient, high-quality secretarial, administrative and support services to their team as required and to maintain office cover.
- Undertake any other additional duties appropriate to the post as requested by the Partners and Practice Manager.
