Job summary

MEDICAL RECEPTIONIST

to join our friendly and hard-working team at Lache Health Centre, Hawthorn Road, Chester.

Main duties of the job

We are seeking a multi-tasker, fast learner and team player. You must be organised with a pleasant telephone manner, be friendly but assertive and work well under pressure. The role includes general reception duties, call handling and medical record management. IT, keyboard skills, data entry skills plus knowledge of the clinical system EMIS Web would be advantageous but not essential

About us

We are a 3 partner GP practice situated on the outskirts of Chester City and south of the river.

We have an experienced team of general practice staff across all disciplines.

This position is a support role for the clinical team and will involve patient contact, call handling and admin tasks.

Job responsibilities

Job Title: Medical Receptionist

Main purpose of the post: Part of a team responsible for the reception/administration in a 3 GP partner practice.

Responsible to: Assistant Practice Manager

The purpose of the role is to:

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Reception Duties

Greeting and directing patients

Making appointments

Accepting repeat prescription requests

Accepting and returning completed forms e.g. hospital admission, private

health insurance etc

Checking if a fee is payable and informing patient of any charge

Accepting new patients, temporary residents and patients requiring emergency treatment

Providing information and handling any problems or complaints. (Anything that cannot be resolved swiftly should be referred to the Practice Manager)

Telephone Duties

Making appointments

Taking requests for visits

Giving results of tests

Taking messages and recording them

Telephoning hospitals at doctors request, for test results

Ordering ambulances, both routine and emergency

Making appointments and taking messages for other health care professionals using the Medical Centre

Computer Duties

Making appointments

Continual updating of patient details

Entering new patients

Other Duties

Opening premises, restoring telephone service, stocking and organising doctors consulting rooms

Printing medical records for home visits.

Filing of medical records, hospital letters and reports

Maintain supplies of stationery and prescriptions and order as necessary

Leave reception and waiting rooms tidy and ready for incoming colleagues

Tidy doctors consulting rooms before and after surgeries, ensuring that all prescriptions are locked away

Check heating, set answering machine, check windows are locked and fire doors closed, and lock up premises

Any other reasonable duties, which may be required when, requested by general practitioners or practice manager

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately

Using personal security systems within the workplace according to practice guidelines

Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks

Making effective use of training to update knowledge and skills

Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards

Reporting potential risks identified.

All practice staff should be aware of their responsibilities under the Health and Safety at Work Act (1974).

All duties mentioned above are shared with other members of the reception staff.

This job description will be subject to periodic review and amendment in consultation with the post holder.

Regular staff meetings are held and in-service training will be given.
