Job summary
Our friendly forward-thinking Medical Practice is seeking to recruit a new Reception Manager to lead our team of reception staff.
Be the lead for the Oaks Healthcare Surgery reception team; providing leadership to enable the team to meet its agreed organisational aims and objectives within a safe, high quality, sustainable, efficient and effective working environment and ensuring staff are trained and supported to reach these goals.
Working effectively within the management team to maintain a happy and committed practice team, promoting an effective professional team ethos.
Supporting the partners and Business Manager in developing the services offered by the practice, facilitating the process of continuous improvement.
The successful candidate will be someone who can provide leadership to the team to meet its agreed organisational aims and objectives. The successful candidate will be required to work 30+ hours per week.
Main duties of the job
Support and mentor the reception team, both as individuals and as team members
Lead the reception team to deliver a full range of primary care reception duties including but not limited to dealing with telephone, digital, face to face patient enquires, care navigating the patients to the most appropriate service or clinician and following the correct triage protocol when dealing with incoming patients.
Contribute to the implementation of the aims and objectives of agreed Oaks Healthcare business plans.
Support the timely and effective recruitment and retention of reception team staff, ensuring appraisals are completed, training needs are identified within resources, manage return to work interviews for the reception team and to manage mandatory training levels, ensuring staff records are kept up to date.
Evaluate and organise reception team induction and training and ensure that all staff are adequately trained to fulfil their role and supported in their on-going development.
Keep abreast of changes in Primary Care reception processes.
Convene reception team meetings, prepare agendas and ensure distribution of minutes.
Supervise the correct use of the computerised appointment system. Oversee the alteration or cancellation of surgeries and take responsibility in an emergency or in the event of changes to the surgeries.
Monitor the daily use of appointments ensuring they are booked appropriately and in accordance with Surgery standard operating procedures at all times.

We are a GP practice who currently holds a practice list of 16600 patients from all walks of life.
Our practice team consists of 8 GPs, a Nurse Manager who is supported by her Deputy who manage a team of clinicians including Advanced Clinical Practitioners, Practice Nurses, Healthcare Assistants and a Phlebotomist. In addition we have a large team of Medical Receptionists, Prescribing and Admin. Team who are all supported by our Practice Management team.
As part of the local Primary Care Network of practices we are proud to be able to offer a wide range of additional services to our patients including Social Prescribers, Mental Health Team, Health & Wellbeing Coaches and Paramedics.
The practice also believes strongly in encouraging GPs of the future and so regularly provide placements to Medical Students.
We are situated in a purpose-built modern medical facility which we share with a Dental Practice and on-site Pharmacist.
