Job summary

WHP is providing a centralised telephone based repeat prescription ordering service for Lawn, Priory and Old Town practices, based at Priory Road Medical centre. The Prescription Ordering Direct (NHS POD) call centre will provide an option for patients to order repeat prescriptions. The Repeat Prescriptions Co-ordinator will:

Work with the above practices and pharmacies to deliver an efficient repeat prescribing process.

Deliver an effective and competent level of receptionist and clerical support to deliver a patient centred service.

The job description and person specification may be reviewed on an ongoing basis in accordance with the changing needs of the Department and the Organisation.

Currently, Wyvern Health Partnership is a group of GPs from 5 practices with a plan to work as 2 PCNS. PCN A group formed by The Lawn Medical Centre, Old Town Surgery and Priory Road Medical Centre. PCN B group formed by Hawthorn Medical Centre and Merchiston Surgery. You will join the PCN A clinical team of GPs, Nurse Practitioners, Nurses, Health Care Assistants, Nursing Associate, Pharmacists, Pharmacy Technicians and First Contact Physiotherapists.

Job responsibilities

Main Duties and Responsibilities

Have a working knowledge of a telephone system both during and after hours

Act as receptionist/first point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, maintain excellent customer service standards.

Communicate and record relevant information to patients, pharmacies, doctors practices, and supervisors, referring to others as appropriate.

Answer telephone calls and emails, taking requests for repeat prescriptions from patients and third parties and ensuring medication is issues in line with GP instructions.

Recognize peoples needs for alternative methods of communication and respond accordingly

Follow PCN Memorandum of Understanding rules and protocols for processing repeat prescription request, under the supervision of others including a pharmacist.

To be able to respond efficiently to a demanding role with constant pressure from telephone calls whilst maintaining accuracy and ability to follow up all queries in a timely manner.

Ensure that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.

Photocopying and word processing documents, letters, emails, and reports when required. Post holder must have a standard level of keyboard skills and able to use Microsoft Office programmes.

Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales.

Taking responsibility for own development learning and performance and demonstrating skills and activities to others who are undertaking similar work

Have a flexible/adaptable approach to their work in order to meet various deadlines.

Demonstrate office systems and department requirements to new starters.

Strictly maintain patient confidentiality, accessing only those medical records and areas within the record that are necessary in the performance of the duties outline in this Job Description

Data recording, monitoring and printing reports from computerised systems.

To carry out other appropriate delegated duties as required
