Job summary

We are seeking a dedicated and detail-oriented Clinic Administrator to mainly support with managing our recall system. This includes processing invitations for chronic disease reviews.

Main duties of the job

The main duties of this role include working collaboratively across the wider practice team to ensure all patients receive the appropriate recall invitations.

The ideal candidate will possess strong organisational and administrative skills. This role requires effective communication, proficiency in various office software, and preferably a understanding of medical terminology.

About us

This is a busy practice, with a list size of approximately 13,100 patients and an above average elderly population.

We have a highly skilled and experienced clinical team including GPs, Advanced Nurse Practitioners, Practice Nurses, HCA's, Nurse Associate, Practice Pharmacist and Care Co-ordinator.

Job Title: Administration Assistant

Responsible to: Drs Whittle, Dr Fairhead, Dr W Yousaf, Dr F Yousaf

and the Practice Manager

Job Summary:

We are seeking a dedicated and detail-oriented clinic administrator to support with managing our recall system. This includes processing invitations for chronic disease reviews.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Duties

As required, accurately clinically coding data on the clinical system into the patient record including invitation recalls.

SNOMED coding information as instructed and requested (recall system).

Maintain accurate patient records and ensure compliance with health regulations.

Developing and running searches in EMIS Web

Managing recall systems including chronic disease reviews

Ensure total familiarity with all appointment systems

Calculating the number of patients eligible for annual reviews/monitoring and determining the amount of invitations which need to be sent for example, diabetic annual reviews

Using PATCHS to send invitations to patients for example, asthma reviews

Developing and amending invitation letters to be posted to patients home address

Address patient inquiries and concerns with professionalism and empathy.

Photocopying documentation as required

Inputting data into patients healthcare records as necessary

Maintaining a clean, tidy, effective working area at all times

Working in collaboration with the nursing team attend regular meetings to discuss performance on targets including QOF

Working closely with management team to review performance on contractual KPIs including Quality Contract, QOF etc

Supporting all clinical staff with general administrative tasks as requested

To have a thorough knowledge of all Practice procedures.

  • Excellent verbal and written communication skills.

Desirable

  • Proficiency in Microsoft Office Suite (Word, Outlook) is preferred.
  • Familiarity with medical terminology is highly desirable.
  • Strong organisational skills with the ability to manage multiple tasks effectively.
  • Ability to work independently as well as part of a team within a fast-paced environment.

Experience

Essential

  • Experience of working with Quality and Outcomes Framework and Quality Contracts in Primary Care.

Desirable

  • Previous experience in a customer service role is preferred.
  • A background in administrative roles within a healthcare setting is advantageous.
