Job summary

In this role you will be responsible for undertaking a wide range of duties to include greeting and directing patients both in person and via the telephone, effective use of the appointment system, booking appointments, processing information and assisting patients as required.

Main duties of the job

maintaining and monitoring the practice appointment system

processing personal, phone and e-requests for appointments

answering incoming calls and dealing with the callers request appropriately

signpost patients to the correct services

provide administrative support as needed

provide general assistance to the practice team

provide a positive and friendly image to the patients and other visitors

This list is not exhaustive and there may be a requirement to carry out other tasks as requested

About us

Bankhouse Surgery has 6 GP partners and 1 salaried GP. We are a teaching practice and also support medical students. We have a nursing and admin teams.

The surgery provides services to 10,500 patients, therefore this is a busy role.

Job description

Job responsibilities

Opening and closing up of practice premises and maintaining security in accordance with practice protocols ensuring the end of day checklist is completed as required

Processing personal and telephone requests for appointments, home visits and telephone consultations, and ensuring callers are directed to the appropriate healthcareprofessional

Answer telephones and personally deal with or, where appropriate, redirect enquiries to the appropriate healthcare professional

Personally welcome patients attending for their appointments and note them as arrived on the clinical computer system

Processing and distributing incoming and outgoing mail

Taking messages and passing on information to both internal and external staff

Book ambulances on doctors instruction

Filing and retrieving paperwork

Processing repeat prescriptions in accordance with practice guidelines

Computer data entry and data allocation and collation; processing and recording information in accordance with practice procedures

Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

Providing clerical assistance to practice staff as required from time to time, including word processing, filing, photocopying and scanning

Provision of refreshments for staff and visitors as required; keeping the kitchen area clean and tidy

Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter

Upon the reasonable request of the practice manager, provide cover by way of extra hours for colleagues holiday and sickness absence

Type Mail letters as required.

In accordance with practice policies, accept cash or cheque payments from patients for the provision of professional medical services

Support practice management in recording patient data such as appointment data, care plan information, coded data information etc
