Job responsibilities
System management and development
Serve as the expert and primary point of contact
for the practice's main clinical software, telephone system and other
integrated systems.
Manage system upgrades, configuration, and
maintenance to align with business requirements and regulatory standards.
Analyse clinical and administrative workflows to
identify opportunities for process improvement using IT solutions.
IT
support and infrastructure
Provide technical support for all hardware and software
issues, either by resolving them directly or by escalating to third-party
providers.
Ensure the security and integrity of the
practice's network, data backups, and communication systems.
Manage IT assets & register, including procuring
new hardware, software, and other IT equipment from the ICB Digital team
Maintain relationships with external IT support
and system vendors, managing service requests and ensuring effective service
delivery.
Data and
information governance
Ensure strict compliance with data protection
laws, such as GDPR, and all NHS information governance policies.
Oversee the quality and accuracy of all data
within the clinical system, providing advice and training to staff.
Generate regular and ad-hoc reports for clinical
audits, quality improvement initiatives (e.g., QOF), and internal performance
management.
Implement and maintain robust business continuity
and disaster recovery procedures.
Clinical system management
Manage the day-to-day operation of the practice's
clinical system including administration, user support, and
troubleshooting.
Act as Service Desk Officer to assist with IT
related issues to the practice IT database systems *SystmOne, AccuRx and
Teamnet etc, such as password and smartcard related issues, loss of service.
Data management and quality
Ensure the accuracy and integrity of patient data
by implementing and enforcing data quality protocols.Monitor data, code
entries accurately, and ensure compliance with coding standards for reporting
purposes.
Oversight of the clinical coding, ensuring the
correct and up to date use of SNOMED codes and templates are available on the
system.
IT infrastructure support
Oversee the practice's overall IT infrastructure,
including hardware, software, network, security.Provide technical support
to staff and manage system updates and maintenance.
Staff training and support
- Liaise with the HR
Administrator to ensure IT related procedures are carried out regarding
on-boarding new users including Smartcard management, and off-boarding
users leaving the practice.
- Liaise with the HR
Administrator to deliver the IT aspects of the induction programme for
staff and students and ongoing training as necessary for all practice
staff such as e-mail, ICE, N365 etc.
- Responsible for
Care Homes attached to the practice, setting up users and granting or
removing access.
Develop and deliver training sessions to help
staff effectively use clinical and IT systems.Provide ongoing support and
guidance to users.
Liaison and communication
Serve as the primary liaison between the clinical
and administrative staff, the practice management, and any external IT or
system suppliers.
System
development and improvement
Analyse and document user requirements for system
improvements. Support the implementation of new functionality or changes
to existing systems to enhance clinical processes and efficiency.
Compliance
and security
Ensure all IT and clinical systems adhere to data
protection laws (e.g., GDPR) and other relevant regulations (e.g.,Caldicott
principles).Safeguard the confidentiality of patient
information.
Strategic
planning
Contribute to the practice's strategic development
by leading on any changes of IT systems or innovative use of new and upcoming
technologies and providing advice on IT and clinical systems and participating
in planning for future technology needs.
Internal
and external communication
Manage and maintain Elmham Group of Practices
social media.
Assist with managing and developing the Groups
website, ensuring friendly navigation and relevant, accurate and up-to-date
information being published, in compliance with data protection legislation.
Handling queries received from patients and the
public via our social media.
Assist with the organisation and administration of
the health campaigns.
Data Reporting on communication issues, i.e.,
Friends and Families Tests and other surveys.
Administration
and Oversight
Issue and receipt of standard communications and
records between the Practice and the Health Authority.
Liaise with PCSE regarding registrations and
deductions as required.
To liaise with patients, the public and other
healthcare professionals as necessary.
Data Security
To provide oversight and support for effective
data control and information management in line with GDPR
Health and Safety
Ensure the Practice policies are understood and
observed and that procedures are followed.
Ensure the appropriate use of equipment and
facilities and ensure the environment is maintained in good order.
Take the necessary precautions to safeguard the
welfare and safety of oneself and others in accordance with the Health and
Safety at work act.
General
Other duties/holiday cover that may be required
appropriate to the level and nature of the post.
Responsibility for the creation and updating of
procedures notes for all tasks within the role.
Proactively work to review process and implement
improvements where possible.
To be proficient at prioritising and organising
workload
Contribute to own supervision, development, and
appraisal systems in line with Practice requirements.
To undertake any training as deemed as necessary
to carry out the full requirements of the post.
The Partners of the Practice retain the right to
amend the Job Description in consultation with the post holder and any agreed
changes will be notified in writing within a month of any agreement.
