We are looking for a pro-active and focused Medical Secretary Support.
Join our team as a Medical Secretary Support and contribute to providing exceptional healthcare services to our patients. As a key member of our support team, you will play a vital role in ensuring smooth operations within the Practice. Hours of work:
16 hours a week - Days of the week and hours to be agreed. It is more important for us to find the right candidate and therefore we can be adaptable with the working days on offer. Please state your availability/preference on application.
Main duties of the job
To work flexibly to provide efficient, high quality secretarial, administrative and support services to the Secretarial Team, GPs and health professionals as required and to maintain office cover. This will involve word processing, audio typing skills with general clerical work.

Key Responsibilities:
Secretarial
- To provide an efficient word processing service for GPs and health professionals as required. This includes the typing and processing of letters, reports, patient referrals, in an accurate and quality manner.
- Process and maintain referrals using the E Referral System AND EMIS systems.
- Maintain all workstreams within the E Referral system.
- Process dictation using the Dictate IT system.
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To provide support to the Microteam Secretaries/ to have knowledge of non NHS work requests.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- To be able to retrieve test results, clinic letters, discharge summaries from appropriate computer systems, or liaise with secondary care staff.
- To provide cover for members of the secretarial team during periods of sickness and annual leave.
Communication
- Communicate on a daily basis with GPs, care navigators, other clinical or non-clinical staff, health care professionals and other health centre users.
- Interface between surgery, GPs and social services, secondary health centres and community services.
- To be aware of confidentiality and communicate sensitive information in a discreet and sensitive manner
- Communicate information, messages, results or requests for follow up appointments to patients in a tactful and clear manner. Ensure patients have understood the information that has been given to them.
- To liaise by telephone with a wide range of outside social care services, secondary health centres and other health care service providers.
- Work collaboratively with other team members and able to cover their absences across the business
