Job summary

An exciting opportunity has arisen for an Operations and Governance Support Officer to join our busy, four-site practice. We are seeking a forward-thinking, enthusiastic individual with at least two years experience working within primary care.

This is a key role within the organisation, supporting the smooth and effective running of operational processes while ensuring compliance with governance frameworks, policies, and regulatory requirements. The successful candidate will work closely with the management team to promote high standards of patient care, safety, and service delivery.

Job description

Job responsibilities

Management Support

  • Provide day-to-day administrative support to the management team
  • Assist with coordination of meetings, reports, and operational activities
  • Support implementation of business processes and service improvements

Project Support

  • Provide project support to the senior management team across a range of initiatives
  • Assist with planning, tracking, and coordinating project activities
  • Monitor progress against timelines and report on key milestones
  • Support documentation, reporting, and communication related to projects

Finance Support

  • Assist the Finance Manager with invoice processing and tracking
  • Support payroll administration, ensuring accuracy and timeliness
  • Input and maintain payroll data within the payroll system/database
  • Calculate sickness, absence pay, and relevant adjustments, ensuring correct implementation within payroll
  • Maintain financial records and assist with basic reporting as required
  • Maintain Petty cash and recording of Petty cash

Human Resources (HR)

  • Support HR functions including onboarding, staff records, and documentation
  • Assist with organising and minuting staff meetings
  • Support senior management with HR processes including warnings, disciplinary procedures, staff wellbeing and investigations etc
  • Monitor staff sickness, absences, and leavers, maintaining accurate records
  • Assist with maintaining HR compliance and employee-related processes
  • Provide administrative support for recruitment and staff communications

Governance & Compliance

  • Support governance processes, including reviewing complaints and significant events
  • Assist with audits, ensuring schedules are maintained and actions are tracked
  • Support identification of learning outcomes from complaints, incidents, and audits
  • Monitor and record outcomes, ensuring improvements are implemented and evidenced
  • Ensure actions from audits, incidents, and reviews are recorded and followed up

Key Skills & Experience:

  • Strong organisational and administrative skills
  • Experience supporting finance and/or payroll processes
  • Knowledge of HR procedures and governance frameworks
  • Experience supporting projects or working within a project environment
  • Attention to detail and ability to manage confidential information
