Job summary:
To provide general secretarial support to the practice
manager, doctors and health professionals, involving word processing and audio
typing skills with general clerical work involving various practice packages
detailed below.
Job responsibilities:
To
provide an efficient audio, copy typing and word processing service for GPs and
health professionals as required. This includes the typing of referrals,
letters, reports, minutes, memorandums etc in an accurate, timely and quality
manner using EMIS Web
To assist
the practice manager with all clerical and administrative duties
To type
medical/insurance reports and raise invoices documenting this process in
patients EMIS Web record and enter in ledger record
To
receive incoming and initiate outgoing telephone calls in order to facilitate
timely and appropriate communications with others, taking messages and dealing
with appropriate queries.
To
provide cover for members of the secretarial team during periods of sickness
and annual leave.
Typing
and emailing of Coroners reports to the Coroners office
Recording
of and typing up of minutes and submitting them to Practice Manager
Using
Docman to respond to GP/ reception forwarded tasks including referrals
Using
AccuRx to send messages and copies of private patient referral letters to
patients
To
process Advice & Guidance requests on e-referral from GPs to the hospital
consultants and record their responses in patient electronic records. To alert
GP to the response and any further action that may be required. To process
onward referral to the hospital from raised Advice & Guidance if instructed
to do so
Use email
extensively to send referrals to outside agencies namely SABP, CSH, Ashtead
Hospital radiology department and private emails to consultants private
secretaries, also to send by email GPimhs referrals.
Use email
to liaise with the ICB regarding e-referral queries
Use email
to liaise with outside agencies such as Epsom & St Helier hospitals, St
Georges hospital, London hospitals, East Surrey hospital, Croydon University
hospital involving chasing appointments and expediting urgent appointments and
follow up appointments, chasing clinic correspondence, diagnostic test results
and to be the go-between link in communicating between GPs and other agencies
and to record responses in patient EMIS Web record
Use email
to send referrals to Community Mental Health Team and deal with queries to and
from them
To
process incoming email correspondence namely diagnostic results, clinic
letters, prescription updates and amendments and sending them for scanning or
saving them to patient electronic record and alerting GP of receipt.
To record
to patient record from email all Return To Practice referrals (from ICB) and documenting these in patient record and
informing patient of this if required
To update
Staff Movements weekly to Emis Web
To
process Practice Notes/ Tasks on Emis Web sent by GPs and Reception involving
generation of referrals, chasing, expediting of appointments and liaising with
third parties as required to process these tasks and inform GP/patients as
needed
To
prioritise processing of Two Week Rule referrals and liaise with SDCCG, Two
Week Rule office and patient as needed regarding any queries

sensitive data
